Position reports to: VP, Innovation

Position status:  Full-Time

Position category: Permanent

Location: Calgary, Alberta – In-Office

Work hours: Monday – Friday 8am – 5pm (40 hours/week)

WHAT’S THE BIG IDEA?

As our Continuous Improvement Coordinator, you will play a crucial role in driving cultural transformation through innovation, operational efficiency and process improvements within our organization.  Your responsibilities will span across project lead/coordination, tracking success metrics for initiatives and improvements, process and procedure documentation, updates and improvements as well as SharePoint site administration.  You will demonstrate the ability to collaborate closely with various departments, offering guidance, support, and oversight on improvement projects, while maintaining up to date tracking and documentation of initiatives for the Company.

HOW DO YOU FIT IN?

The successful individual will have the following experience, education, and ability to develop these demonstrated skills

  • Strong MS Office (Word, Excel, PowerPoint, Outlook, Teams, Visio) skill
  • Strong Project Management tool (Smartsheet, JIRA, MS Project) skills.
  • Proficiency in Microsoft SharePoint – create and design SharePoint pages, SharePoint administration
  • Excellent documentation skills, to communicate information effectively from technical teams to Executive level.
  • Interpersonal skills, to help negotiate priorities among project stakeholders.
  • Ability to work under minimal supervision and be self-efficient and flexible as required.
  • Excellent verbal and written communication skills are a must.
  • Ability to thrive in an environment that is developing and growing quickly.
  • Excellent problem-solving, organizational, and time management skills.
  • Able to handle multiple tasks simultaneously; ability to deal with conflicting demands and prioritize tasks as needed.
  • Ability to overcome major obstacles and recognize early when issues should be escalated.

WHAT YOU WILL BE DOING


Innovation Pipeline Administration – 15%

  • Logging new idea/change initiatives into the Innovation pipeline
  • Ensuring the status of idea/change initiatives is up to date through monitoring and follow up with idea/change initiators and in concert with the Assess Change Process
  • Participate in improvements and/or evolution for the pipeline during and after piloting

Project Coordination and Support for Innovation/Change Initiatives – 25%

  • Provide project support and coordination for active ideas/changes on the Innovation Pipeline
  • Collection and documentation of key results or impact of completed idea/changes
  • Manage small to mid-size change initiatives in the Organization through coordination with key business and information technology teams.

SharePoint Intranet Management – 20%

  • Manage the Company PP & P Intranet/SharePoint site including but not limited to:

  • Uploading new/updated PP & P documents to the site

  • Archiving previous versions of PP & P documents

  • Maintaining version control and site/company standards for the site

  • Ensuring that documents presented for uploading meet the standardization guidelines set by the company

  • Collaborate with IT with the integration of the PP & P Intranet into larger corporate SharePoint initiatives

Policy, Process and Procedure Internal Coordination – 25%

  • Act as an internal champion for Process and Procedure Standardization and Improvement
  • Participate as a key stakeholder in the Assess Change Process for policies, processes and procedures
  • Assist departments in the documentation and updating of procedures using company standard templates and methodology
  • Assist departments in the mapping of key business processes in keeping with company standards and methodology
  • Perform testing or audits on existing processes and procedures to assist in validation, improvement opportunities or risk reduction
  • Providing coaching and support to ensure all teams adhere to and utilize PP&P templates and tools correctly.

Management Information and Reporting – 10%

  • Create a reporting system related to the Innovation Pipeline (i.e.: volume, department adoption, duration, completion of initiatives)
  • Create follow up reporting on ideas/changes that provide metrics on the success or impact of ideas/changes (qualitative and quantitative)
  • Gather and compile feedback by way of interviews, surveys or other means to provide insight into the impact of the Innovation program and potential improvements to systems and tools

Other Administrative Duties – 5%

  • Comply with regulations including but not limited to Real Estate Act, Privacy Act, Securities Act, Business Corporations Act, Fair Trading Act, etc.;
  • Ensure compliance with the Proceeds of Crime (Money Laundering and terrorist Financing Act
  • Be responsible for corporate policy
  • Maintain a procedure manual of your duties to assist in succession planning and training
