Project Accountant

Duties and Responsibilities

This position will perform a variation of the following duties, depending on operational needs, customer needs, project requirements:

  • Create and maintain project numbers and project profiles in the accounting system.
  • Prepare and update client contract summaries as required.
  • Review, enter, and match vendor invoices to the correct projects.
  • Review project timesheets for billing accuracy.
  • Prepare project reports for Project Managers and clients.
  • Prepare invoices and supporting documents for Project Manager review and approval.
  • Respond to client invoice inquiries and follow up on outstanding invoices.
  • Maintain and update SOPs as required.
  • Manage billing for T&M, fixed-fee, milestone, and progress billing projects.
  • Validate billing rates, markups, taxes, purchase orders, and change orders before invoicing.
  • Track unbilled revenue, WIP, retainage, deferred revenue, and project accruals.
  • Prepare project reports, budget-to-actual analysis and variance summaries.
  • Prepare standby and shift premium reports for employee payment processing.
  • Coordinate with Project Managers on billing status, PO limits, write-offs, and project-related issues.
  • Assist with month-end close, reconciliations, accruals, and revenue recognition support.
  • Support process improvements, reporting automation, and other accounting tasks as required.


Other Duties

  • Share phone and door buzzer coverage with other team members
  • Review employee expenses and credit card transactions related to projects
  • Follow up on missing credit card receipts and supporting documents for project expenses.
  • Support weekly cash flow reporting and payment planning.
  • Assist with other accounting tasks as required


Requirements

  • Minimum 1 year of project accounting experience in an engineering firm, or 3 years of full-cycle accounting experience.
  • Experience with Deltek Vantagepoint is a plus
  • Strong work ethic, organized, team-oriented, and able to take initiative.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Excel skills, including PivotTables, Power Query, and reporting functions.
  • Knowledge of GST, PST, HST, and project-related tax treatment is an asset.
  • Strong attention to detail with the ability to identify billing errors and discrepancies.
