Inventory & Warehouse Specialist (Hope)

We are seeking a hands-on, detail-oriented Inventory & Warehouse Specialist to support all inventory control and warehouse activities at our new Cascadia facility.
The ideal candidate will bring strong attention to detail, a data-driven mindset, and a passion for operational excellence. You will be responsible for ensuring materials and bulk inventory are accurately received, stored, tracked, and issued in alignment with Rubicon’s SOPs, regulatory standards, and ERP (D365) requirements.
This role is an exciting opportunity to help build foundational systems and processes at a new site, while collaborating closely with our Operations, Planning, QA, and Finance teams.
Key Responsibilities
Warehouse Operations
Execute all warehouse functions, including receiving, put-away, staging, picking, packing, and internal transfers.
Prepare and process shipments (inter-site transfers, co-man shipments) in accordance with SOPs and compliance requirements.
Maintain a clean, organized, and safe workspace; uphold 5S principles and proactively identify improvement opportunities.
Safely operate material handling equipment such as pallet jacks or forklifts and report equipment deficiencies promptly.
Inventory Management
Perform daily, weekly, and monthly cycle counts, targeting 100% accuracy for biomass and consumables.
Conduct reconciliations and root-cause analysis for variances; implement corrective actions to maintain accuracy.
Organize and optimize storage to support efficient retrieval, traceability, and space utilization.
Support quarterly and year-end inventory audits, ensuring documentation readiness for Finance and QA.
Accurately track materials through their full lifecycle– from receiving to destruction– ensuring compliance with Health Canada and Canada Revenue Agency standards.
ERP & Data Integrity (D365)
Record all warehouse and inventory movements accurately within Microsoft Dynamics 365 (D365).
Process production order consumptions, completions, adjustments, and reconciliations while maintaining data integrity.
Collaborate with Planning, Processing, Packaging, and Procurement to ensure BOM accuracy and proper material flow.
Support testing and improvement of D365 warehouse and inventory functionalities as the Cascadia site scales.

Cross-Functional Collaboration
Work with Production, Planning, Procurement, and Finance to ensure timely materials availability and accurate reporting.
Coordinate with Logistics to schedule deliveries and shipments with carriers and partners.
Partner with QA and Regulatory to maintain lot traceability and compliance documentation.
Provide inventory reports and data insights to internal teams as needed.
Continuous Improvement & Safety
Identify and implement opportunities to improve warehouse efficiency, accuracy, and flow.
Contribute to a strong safety culture and ensure full compliance with Rubicon’s policies and procedures.
Actively support site start-up initiatives and ongoing Lean and 5S programs.
Qualifications & Experience
1–3 years of experience in warehouse operations, inventory control, or supply chain support (regulated or CPG environment preferred).
Experience with ERP systems (Microsoft D365 an asset) and Elevated Signals.
Strong proficiency in Microsoft Excel (pivot tables, formulas, and data analysis required).
Knowledge of inventory best practices, reconciliation, and cycle count processes.
Forklift certification (or willingness to obtain).
Demonstrated attention to detail, accuracy, and accountability in all work.
Experience in the cannabis, agricultural, or manufacturing industry is an asset.

Salary: $65,000–$75,000, depending on experience
10% company performance bonus
