Location:  Langley, BC ( Hybrid) 
Salary range: $48,000 - $56,000

About the Opportunity 

 

Focus on the Family Canada is seeking an organized, detail‑driven Events Coordinator to support the operational planning and execution of ministry events across the country. This role ensures excellent event logistics, accurate administration, strong communication with stakeholders, and a high-quality attendee experience. The Events Coordinator also supports sponsored events, exhibits, and the Journey to Us marriage enrichment program.

What’s the job?  
 

Your responsibilities will include: 

  1. Event Planning & Logistics Coordination 

  • Maintain the master event calendar, production timelines, and all logistical workflows 

  • Coordinate venue sourcing, contracts, deposits, and vendor communications for all events 

  • Manage event registrations (TicketTailor), stakeholder inquiries, and participant communication 

  • Oversee event supplies, shipping, materials, and on‑site logistics, including travel arrangements 

  • Coordinate speakers, facilitators, volunteers, and hosts 

  • Lead or support on‑site execution, including setup, vendor coordination, volunteer deployment, and day‑of checklists 

 

  1. Administrative Management & Support 

  • Maintain inventory of event materials, generate purchase orders, and track expenses 

  • Manage records of deposits, invoices, payments, and ensure accurate CRM entries 

  • Produce post‑event reports (attendance, costs, leads) and maintain all associated databases 

  • Keep standardized checklists, templates, and documentation up to date and organized 

  • Ensure proper storage and organization of all event files according to departmental systems 

  • Support administrative needs related to event operations, tracking, and documentation 

 

  1. Marketing Support (Execution-Only) 

  • Submit creative requests through the Project Manager 

  • Coordinate asset deadlines 

  • Ensure accuracy of event landing pages and registration links 

  • Support contest logistics and fulfillment 

  • Track event-related lead generation 

 

  1. Volunteer Operations and Other Responsibilities: 

  • Recruit, onboard, and communicate with event volunteers 

  • Maintain volunteer database 

  • Coordinate volunteer schedules and on-site assignments 

  • Ensure volunteers are equipped and properly briefed 

  • Participate in daily devotions  
     

About You: 

 

  • A deep commitment to the mission, vision, and values of Focus on the Family Canada. 

  • At least two to three years of relevant experience coordinating events, programs, or logistics 

  • Proficient in Microsoft Word and Excel 

  • Strong verbal and written English communication skills. 

  • Proven problem-solving skills, especially under pressure  

  • Proven ability to manage multiple timelines 

  • Highly administrative and organized, with a sense of curiosity to learn and promote continuous improvement 

  • Team player, willing to be flexible during the busy season to succeed as a team  

  • Experience in ministry or nonprofit event environments and in volunteer coordination is an asset  

  • Willingness to work some evenings and weekends (only occasionally) as required for event promotion and execution  

  • Must hold a valid driver’s license
