Accountability: The Director of Operations is directly accountable to the Parish Pastor 


Job summary:

Our Lady of Guadalupe Parish exists to make joyful disciples of Jesus who form a community that overflows in faith and charity. The Director of Operations plays an essential role in this mission working closely with the pastor and Parish Leadership Team. Operating with a high degree of independence and confidentiality, the Director of Operations is responsible for guiding the operations so that the parish lives out its mission and achieves its strategic goals. The position supports a team of 5-7 staff members. Responsibilities will include the day-to-day coordination and daily management of buildings, administration, and finance activities.

Duties and Responsibilities: (Main functions but not limited to the following) 

Administration

  • Manage all office administrative functions and schedule activities related to parish facilities, including routine inspections and maintenance activities, rental of space for events such as funerals, weddings, other special parish activities.
  • Manage, supervise and support the staff team, including leading and coordinating staff meetings, ensuring effective communication and team work to stay on track with projects and parish goals.
  • Support and coordinate ministry leaders/ volunteers ensuring effective communication and teamwork.
  • Manage the replenishments of church and office supplies; preparation of paperwork, event tracking process, preparation of certificates, mail and filing management
  • Exercise authority for financial transactions, including completion of purchase orders, budget management and act as a liaison staff with respect to purchases
  • Manage the database and reporting requirements for the parish, through use of Churchsuite
  • Serve as the Parish Coordinator for the Diocesan Responsibility Ministry Protocol

Parish Property Management

  • Manage contracts, leases, and relationships with tenants (apartment, rectory and others)
  • Coordinate Health and Safety requirements
  • Manage and maintain access system and protocols for the access and security of all buildings at St. Peter site and St. Anthony site
  • Coordinate and manage maintenance requests and requirements, liaising with the parish Building Maintenance Committee on projects and tasks

Qualifications:


  •  Alignment to the mission and vision of the parish
  • Strong interpersonal skills with an outstanding level of integrity that will gain trust and respect of staff, parishioners and community member
  • Demonstrated organizational skills, and the ability to effectively prioritize in a multi-task environment
  • Problem solving; ability to resolve complex issues and unforeseen obstacles quickly and efficiently
  • Strong verbal and written communication skills
  • Experience with managing staff, volunteers, and an assigned budget
  • Completion of a related post-secondary program (administrative or financial or project management)
  • A minimum of 5 years old of related proven work experienc
  • Knowledge of administrative and database systems, such as Microsoft, Churchsuite, etc.
  • Meet the Archdiocese Responsible Ministry protocols; clear criminal background check and vulnerable sector check
  • Practicing Catholic in good standing is strongly preferred.

Conditions of Employment:

  • Satisfactory background check and in compliance with the Responsible Ministry Protocol
  • Compliance with all relevant Archdiocesan policies
  • Work hours are 35 hours a week, Monday to Friday. Evenings and weekends occasionally, as required.
