Role SummaryThe HR Administrator is responsible for providing administrative support to the Human Resources department while assisting with general office administration. This role plays a key part in delivering an exceptional employee experience by supporting recruitment, onboarding, employee records management, and day-to-day HR operations. The position requires exceptional organizational skills, attention to detail, professionalism, and the ability to maintain strict confidentiality while working collaboratively with employees, leaders, and external partners. The HR Administrator also supports various office functions to ensure the workplace remains organized, professional, and efficient.
Key ResponsibilitiesHuman Resources Administration (75%)
- Support the recruitment and selection process, including preparing and posting job advertisements, monitoring applications, assisting with candidate screening, and coordinating interviews and candidate communications.
- Coordinate recruitment documentation and pre-employment processes, including preparing interview materials, conducting reference checks, preparing offer letters and employment agreements for review, and supporting onboarding requirements.
- Coordinate employee onboarding activities, including orientation schedules, employment documentation, required forms and policy acknowledgements, the preparation of employee files, etc.
- Coordinate new hire equipment, supplies, and workplace setup, including safety boot and safety glasses vouchers, SWAG, identification badges, onboarding materials, and workstation setup with relevant departments.
- Support employee offboarding processes, including preparation of exit documentation, collection of company property and equipment, system notifications, and other offboarding requirements.
- Support a positive employee experience through professional and responsive HR service, including answering employee inquires and/or directing them to the appropriate party, assisting with employee surveys, and other employee communications and initiatives.
- Maintain accurate and confidential employee files, records and documentation, including updating employee personnel files, making HR system updates and supporting document management and records retention practices.
- Administer employee engagement programs, including but not limited to company events and initiatives, various recognition programs, monthly staff cases, SWAG materials, and other initiatives designed to support employee engagement and workplace culture across all departments and shifts.
- Coordinate various HR administrative processes and communications, including tracking performance evaluation processes, preparing HR correspondence, coordinating staff training, etc.
- Other related HR duties as assigned.
- Receive and support customers, visitors, candidates, and external vendors as they arrive on the premises in a welcoming and professional manner.
- Maintain and manage the ordering, stocking and distribution of various supplies, including but not limited to general office supplies, IT equipment/resources, snacks, coffee, water, etc.
- Assist with meeting room scheduling and preparation.
- Assist with various company communications, notices, and bulletin boards.
- Provide general administrative support to various company initiatives such as 5S, etc.
- Other related administrative duties as assigned.
Education & Experience
- Degree, diploma or post-secondary certificate in Human Resources from an accredited institution is required.
- Zero to three years of work experience in Human Resources is preferred.
- Experience supporting recruitment, onboarding, and/or HR administration is considered an asset.
- Experience in a manufacturing environment is considered an asset.
- Working toward or possessing a CHRP designation is considered an asset.
- Intermediate proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required.
- Knowledge of HR principles, practices, policies, and administrative processes.
- Knowledge of employee records, onboarding/offboarding, recruitment, benefits, attendance, and training administration.
- Knowledge of applicable employment legislation and confidentiality requirements.
- Knowledge of general office administration and professional business practices.
- Knowledge of Microsoft Office and HRIS/payroll systems.
- HR administration, employee record keeping, and documentation.
- Recruitment, onboarding, and employee support coordination.
- Professional written and verbal communication and customer service.
- Microsoft Office, data entry, reporting, and information management.
- Organization, time management, and prioritization.
- Problem solving, issue escalation, and administrative coordination.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.

- Ability to communicate professionally with employees, managers, candidates, and external stakeholders.
- Ability to work independently while contributing effectively within a team.
- Ability to recognize issues requiring escalation and follow established HR processes consistently.
- Ability to adapt to changing priorities and provide responsive support in a fast-paced environment.
Schedule
- This position is normally scheduled Monday to Friday during regular business hours.
- Occasional overtime or additional hours may be required to support recruitment events, onboarding sessions, or company activities.
- Work is performed primarily in an office environment with regular interaction with internal departments, customers, suppliers, and sales representatives.
- Regular movement between office, production, warehouse, and shipping areas is required, including the use of various PPE.
- Mental focus and concentration to manage multiple competing priorities while maintaining a high level of organization.
- Mental dexterity to identify issues, exercise sound judgment, and determine appropriate solutions or escalation paths.
- Mental adaptability to adjust to changing priorities and workflows.
- Awareness and recognition of safety hazards in a dynamic production environment.
- Ability to sit and work at a computer for extended periods.
- Occasional lifting of office supplies or materials up to 25 lbs.
- Frequent keyboarding, telephone communication, and document preparation.
- Manual dexterity to regularly use computers, telephones, printers, and other office equipment.
- Use of personal protective equipment (PPE) is required where applicable.
- Ability to occasionally support company events requiring setup and teardown.
