The IT Coordinator plans, organizes, directs, controls, implements, and evaluates the Agency’s information technology activities/systems across three work sites in Vancouver. This position will supervise, and collaborate with the IT Technician as well as be the first point of contact for all technical support inquires providing support to all internal employees, and external vendors for a wide range of technical, network and operating systems such as hardware, mobile and other wireless technologies. The IT Coordinator must drive delivery of assigned projects to ensure timeliness and quality within scope and budget. The IT Coordinator is responsible for supporting all IT initiatives as determined by IT strategic plans, including planning, development, delivery, change management, communications and continuous improvement of solutions implemented within their portfolio. The position will require some evening and weekend work and may be assigned additional work consistent with experience, education and scope of responsibility.
The responsibilities include:
- Plans, organizes, directs, controls, implements and evaluates the Agency’s Information technology and telecommunications activities/systems.
- Monitors and maintains Agency infrastructure, networks, system software, phone systems and IT security.
- Provides technical support and troubleshooting to staff and leadership, and acts as a key advisor on technology solutions, system enhancements, and information technology planning. The role involves identifying opportunities to improve workflows and organizational processes through the effective use of technology.
- Coordinates/manages data recovery/backup systems; providing risk mitigation strategies for issues/incidents; and troubleshooting, diagnosing, and resolving IT issues/problems.
- Develops and delivers training to staff on information technology tools and platforms such as Microsoft Teams and internal systems. This includes providing guidance on information security practices, data protection, and the safe and appropriate use of technology.
- Provides courteous and effective technical support to staff and members of the organization ensuring computers, software, phone and voicemail and other IT systems operate effectively.
- Communicates effectively to understand the problem and explain its solution to staff.
- Offer technical solutions to staff regarding system, email, and product related issues and provide day-to-day support to staff on the use of technology resources.
- In supporting organizational operations, the IT Coordinator works closely with program management to assist in the selection, implementation, and integration of software systems. These systems include Applicant Tracking Systems, Human Resources Information Systems, Enterprise Resource Planning systems, and intranet platforms. The IT Coordinator is responsible for coordinating system rollouts, upgrades, and improvements across departments, ensuring systems are aligned with operational needs, agency policies, and reporting requirements.
- Applies problem-solving methodologies and tools to diagnose and solve operational IT issues.
- Analyzes multiple alternatives, risks, and benefits for a range of potential solutions.
- Serves as the primary point of contact with Ministry of Children and Family Development counterparts for all information technology related matters. This role is responsible for coordinating and communicating updates, changes, and requirements related to Ministry systems, including the Integrated Case Management System, the Management Information System, and the Azure Virtual Desktop or other applicable Ministry-defined platforms. The IT Coordinator ensures VACFSS systems are in compliance and integrates with Ministry standards and protocols, and ensures that any system changes and their operational impacts are clearly communicated to staff and leadership.
- Manages vendor relationships for IT systems and services, including establishing new vendor partnerships to source out the best cost-effective products and services.
- Performs human resources functions for staff supervised, such as recruitment, setting strategies and objectives, prioritizing work, ensuring proper training, completing annual performance appraisals, encouraging employee professional development, discipline, and labour relations issues.
- Performs generalist duties related to the IT Coordinator functions as required and within limitations of the given job classification. Provides coverage when needed for IT Technician.
This position requires a high degree of relational engagement. The role will provide support based on the Indigenous culture core competencies and the values of respect, strength-based practice, humility, integrity, and belonging. Communication and work occurs within a governance context of the organization. The role requires practical, and expert knowledge of the IT landscape, transformation roadmap, and awareness of the strategic importance of project execution. This role performs all other duties related to the IT as assigned by the manager in carrying out the mission and mandate of the agency.

QUALIFICATIONS:
Required:
- Bachelor’s Degree in Computer Science, Computer Systems or related field,
- A combination of education and experience may be considered.
- At least seven (7) year’s progressively more responsible information technology/system administration experience.
- Three years of supervisory experience leading, mentoring, and supervising staff.
Preferred:
- Certification in network administration, cybersecurity, project management and/or business analysis.
- Experience in non-profit sector, government or related environment.
- Experience in non-profit sector, government or related environment.
- Experience managing vendor relationships.
- Experience with:
o Hybrid Infrastructure: Management of Active Directory and Azure environments.
o Operations: Expertise in documentation and establishing rigorous maintenance schedules for on-prem databases and servers.
o Network & Security: Ability to design network architecture and implement cybersecurity frameworks.
o Azure Administrator Associate
o CompTIA Security+
o CCNA
OTHER REQUIREMENTS:
- Maintains expert knowledge of the IT landscape, transformation roadmap, and awareness of the strategic importance of project execution. Maintains familiarity with strategic business directions.
- Maintains a high level of integrity, tact and discretion when handling confidential information.
- Knowledge of standards and practice with respect to technology, security of technical equipment and systems, and management of technical assets.
- Knowledge of change management processes and project management methodologies.
- Knowledge of the installation, configuration, maintenance and problem resolution of hardware, software, operating systems and network components.
- Knowledge of service level management and performance measurement of ongoing operations of technology based systems.
- Knowledge of procurement, contract management and contract administration processes with respect to technology assets, such as equipment, software, and resources.
- This position may involve extended working hours, evenings and some weekends.
- Ability to type 50 wpm.
- Criminal Record Check, a valid BC Driver’s License and access to a safe, reliable vehicle.
