Salary Range: $60,000 to $70,000

Position Summary:

The Transfer Services Coordinator supports the delivery of front-line services, stakeholder engagement, and events related to the Ontario transfer guide and ONCAT’s pathway and transfer web portal, ONTransfer.ca. Working under the supervision of the Manager of Transfer and Student Services, the Coordinator contributes to content development, communications, and service support activities, responds to stakeholder and public inquiries, and helps identify opportunities to enhance services in alignment with ONCAT’s service level expectations. In addition to front-line service coordination, the role supports a range of administrative, operational, and data-related activities that contribute to the ongoing maintenance and improvement of ONTransfer.ca and its associated systems. Responsibilities may evolve over time in response to service priorities, operational needs, and organizational initiatives, and the Coordinator is expected to work collaboratively across teams to support these efforts.

Frontline Support Services:

  • Supports development of content, contacts, communications, and outreach initiatives that support stakeholders and partners via established platforms e.g. SharePoint, listservs, CRM, CMS, email, etc.
  • Answers public-facing inquiries from ONTransfer.ca.  
  • Supports development of training and support materials (e.g. manuals, videos, etc.) to educate stakeholders and partners on functionality of web resources e.g. Ontransfer.ca, SharePoint, etc.
  • Supports and applies service level expectations to requests or incidents involving stakeholders and partners. 
  • Interfaces with all aspects of ONTransfer.ca including public-facing and back-end tools e.g. will provide operational support for SharePoint web portal including, but not limited to, communications, registration access, changes in security groups, service support tracking, inquiries, and priority escalations.  
  • Maintains familiarity with stakeholder and other jurisdictions transfer student supports, policies and processes in Ontario postsecondary schools. 
  • Provides timely and accurate answers to general and detailed inquiries from potential students via various mediums (phone, online or in-person). 
  • When necessary, escalates serious or complex service issues and/or complaints to the Manager.

Administration, Communications and Service Support:
  • With support from Transfer Services Team supports a wide variety of communication to stakeholders to initiate, collect, and track various data requirements that support ONTransfer.ca. 
  • Supports, coordinates and tracks external inquiries to support better interactions and improved access to information for stakeholders (e.g. supports improved program pathway submission and approval process, course-to-course relationships, student inquiries, etc.). 
  • Supports and collaborates on various data-related service initiatives including, but not limited to, pathway administration, data entry and collection processes, providing summarized data, or reporting for internal and external stakeholders that involves ONTransfer.ca and its various support systems.
  • Transfer Services Coordinator supports service, task and project tracking within ONCAT’s project management tools (e.g. Monday.com) to ensure up-to-date and accurate task planning for ONTransfer Team. 
  • Coordinates, schedules, and supports meetings for ONTransfer team including, but not limited to, distribution of agendas, taking of minutes, follow-up and additional communications. 
  • Reviews service interactions to enhance ONTransfer.ca functionality and supports all stakeholders.
  • Supports the development of strategic and operational plans to improve stakeholder engagement.
  • Cultivates and maintains good relationships with ONTransfer.ca Administrators, external IT vendors and developers. 
  • Collaborate with Communication’s team members to support student materials for print, social media and ONTransfer.ca. 
  • Supports and collaborates with other ONCAT team members as necessary. 
  • Coordinates and supports attendance at student events (in-person and virtual) including preparation of materials and post-event metrics.
  • Coordinates and documents student and public inquiries including escalating issues to Manager or Director as appropriate.   
What We're Looking For:
  • Bachelor's degree in Business Administration, Social Sciences, Public Administration, or a relevant field.
  • Strong written and verbal communication skills, with the ability to draft and format professional materials.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint), SharePoint and CRM systems.
  • Strong organizational and coordination skills, with the ability to manage multiple priorities and deadlines.
  • Ability to learn new tools, systems, and processes in a fast-paced environment.
  • Experience working collaboratively within a team and supporting cross-functional projects.
  • Strong interpersonal and relationship-building skills.
  • Bilingualism (English/ French) is considered an asset.
