NorthWind is currently looking for a permanent, full-time Oil & Gas Administrator to work from our Edmonton location. The successful candidate will have strong organizational skills and will have a propensity to pay strong attention to detail. Responsibilities: 

  • Subcontractor ticket entry into SiteView. Stamp and code tickets and email back to subcontractor. Follow up with field staff and program manager with any issues. File tickets electronically. 
  • Enter NWLR subcontractor invoices into project management system(s). Cross reference for accuracy between daily cost ticket, subcontractor invoice and billable backup.
  • Enter NWLR invoices into SiteView upon receipt. Cross reference between SiteView and invoices to ensure accuracy. Ensure that all items in SiteView are billed out in Open Invoice. 
  • Assist with creation of AFE documents for submission to client.
  • Effectively communicate with vendors, subcontractors and program managers to mitigate any discrepancies. 
  • Accounts receivable invoicing as per NWLR procedures and client specifications.
  • Enter vendor billable invoices into project management system(s). Save backup according to client requirements. 
  • Other jobs duties as assigned. 

Qualifications and Skills: 

  • Experience with SiteView and/or Open Invoice is considered an asset.
  • An Oil and Gas Administration Diploma is considered an asset.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams and Outlook). 
  • Maintain a high degree of accuracy and attention to detail.
  • Demonstrated ability in planning and organizing to meet scheduled deadlines.
  • Exceptional communication, organizational and time management skills. 
  • A flexible and responsive team player who is comfortable working with all levels of the organization.
  • Ability to work with and take direction from multiple colleagues. 
  • Always approachable and professional in approach. 
  • Ability to work independently while prioritizing your workload. 
  • Ability to work with minimal supervision and within a team environment. 
  • Demonstrated ability to identify problems and situations, take appropriate action, implement solutions, or escalate as required. 
  • High level of discretion dealing with confidential information.
  • Punctual.       
  • Adaptable to change.
