What You'll Do

As a key member of the property management team, you will:

Tenant & Vendor Support
  • Assist with daily tenant needs, service requests, and compliance matters.
  • Receive and respond to tenant and vendor inquiries via email and phone.
  • Support tenants in using the Café Commercial Work Order system.
  • Prepare tenant move-in/move-out notices and assist in ensuring spaces meet required standards.
  • Coordinate tenant meetings and support tenant event planning.
  • Draft correspondence to vendors and tenants on behalf of the Property Manager.
Administrative & Systems Support
  • Process invoices for payment within Yardi.
  • Maintain and update welcome packets.
  • Prepare and manage Service Agreements, ensuring proper execution.
  • Maintain accurate tenant and vendor records.
  • Collect and maintain current Certificates of Insurance.
  • Maintain performance specification records and recommend contract modifications as needed.
  • Approve and manage room bookings.
  • Review operational requests and direct them appropriately.
Operations & Maintenance Coordination
  • Assist with building and grounds inspections; prepare written reports, and help initiate corrective action for maintenance or janitorial deficiencies.
  • Coordinate maintenance, upkeep, and suite reconditioning projects.
  • Track customer suite changes and report updates to the janitorial provider for accurate billing and service.
  • Process signage requests, changes, and removals.
  • Manage card access requests, conduct access card audits, and monitor security systems as needed.
Qualifications
Education
  • Bachelor’s or Associate Degree, or equivalent commercial experience.
  • Experience in Commercial Real Estate preferred.
Experience & Skills
  • Strong computer proficiency, including Microsoft Word and Excel; experience with Yardi preferred.
  • Excellent written and verbal communication skills.
  • Comfortable learning and using new real estate and property management applications.
  • Strong organizational skills and attention to detail.
  • Professional and confident when engaging with tenants and vendors in person and via email.
  • Ability to interpret safety rules, operating and maintenance instructions, and procedural documents.
  • Ability to generate routine reports and professional correspondence.
  • Proficient in standard office equipment and systems.
