Pediatric Medical Secretary
We are seeking a friendly and skilled Medical Secretary greet and check in our patients coming in for well visits.
• Greet and assist customers at our check-in window.
• Schedule routine patient appointments (annual PE, med checks).
• Check in Patients for treatment, collect co-pays, verify patient insurance per standards set by the billing department and verify patient information.
• Collect Registration and HIPAA Updates from patients annually and enter all updated information into EMR
• Create and check Telephone Encounters and Action Items in a timely manner for every patient request and interaction.
• Pull messages from voicemail, and follow processes for TE to ensure treatment efficiency
• Answer telephone calls or in person inquiries, document the message, and assign to the appropriate staff member to ensure accurate and timely communications are facilitated.
• Confirm patient appointments in advance of visit
• Enter all new patient Registration/HIPAA and Registration/HIPAA Updates into EMR
• Check eligibility the morning of for all patients scheduled; follow up on discrepancies by navigating insurance websites or calling insurance company.
• Complete paperwork that is requested by phone or left at front desk for completion (physical forms as needed, requested faxes, etc.).
• Process outgoing mail and distribute incoming mail.
• Scan all patient registration forms and updates, HIPAA updates, medical documents. Maintain appropriate naming conventions for all documents scanned
• Performs other duties as assigned.
Requirements:
• High school diploma required.
• Knowledge of medical office procedures and terminology.
• Knowledge of grammar, spelling and punctuation to document patient information and type correspondence.
• Skill in greeting patients and answering telephones with a strong customer service focus.
• Skill in operating a variety of office equipment such as copier, facsimile machine and computer.
• Ability to speak clearly and concisely.
• Ability to read, understand and follow oral and written instructions given in English.
• Ability to sort and file by alphabetic or numeric systems.
• Ability to establish and maintain effective working relationships with customers (patients, physicians, coworkers, supervisor, etc.).
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
Expected hours: 40 hours per week, M-F 8am - 5pm plus every other Saturday from 8am-12:00pm

- Medical office: 1 year (Preferred)
License/Certification:
- CMAA - Certified Medical Administrative Assistant (preferred)
