Title: Volunteer Coordinator 

Location: John W. Lindsay YMCA

Position Status: Full-Time, Contract (June 2 to July 25, 2025)

Compensation: $18.00 per hour

About the Role:

Reporting to the Program Director, this position is responsible for the administration and volunteer management component of all departments for the John W. Lindsay YMCA.  The Volunteer Coordinator will provide clerical support to ensure efficient, accurate delivery of administrative services in support of quality program delivery.  Accountable for administrative duties carried out in alignment with Y policy and compliance guidelines.

In this role, you will:

  • Develop recruitment processes to secure volunteers based on program and operational needs – this includes regular operations and special events.  
  • Coordinate & organize volunteer applications, interviews, paperwork, and conduct reference checks as per association requirements.  
  • Management of volunteer onboarding, placement, and record management.  Includes: coordination of volunteer placements, maintenance of volunteer database, child protection/HR record compliance, volunteer recruitment, and maintenance of volunteer files.  
  • Preparation, interpretation, and report on volunteer metrics and comply with Association reporting requirements. Ensure appropriate record retention and security protocols in keeping with Association requirements.    
  • Foster positive relationships with YMCA families, participants, external agencies and community partners to further YMCA community impact and spirit of volunteerism.   
  • Develop tracking system for volunteers including schedules, hour tracking and contact database.  
  • Coordinate and develop end of summer volunteer appreciation event as well as ongoing appreciation initiatives and communications with volunteers.   
  • Respond to internal and external requests for information and/or assistance in a timely fashion. Foster an environment of collaboration, information sharing, and proactive support in dealings with staff, volunteers, clients, and members. 
  • Other duties as assigned. 

Education and Skills Qualifications: 

  • Degree, or diploma in Business Administration, Volunteer Management, or related field considered an asset. 
  • 2 years’ experience in Office Administration, Program Administration, or Volunteer Management, preferably in a Non-for-Profit environment considered an asset.  
  • Strong attention to detail and commitment to quality 
  • Demonstrated ability to tactfully handle sensitive situations 
  • Demonstrated ability to manage multiple, competing deadlines and priorities 
  • Strong interpersonal and communication skills 
  • Intermediate Microsoft Office Suite, spreadsheets, database maintenance
