Position: Accountant

Position Responsibilities:


Accounts Payable 

  • Review and record staff reimbursement requests.

  • Gather payment information from payees and create electronic payments.

  • Manage school credit card transactions, gather receipts, and handle all related inquiries.

  • Obtain monthly statements from recurring vendors and reconcile them against the AP Aging Summary.

  • Distribute vendor bills to the respective budget managers for approval and record them in QuickBooks Online.

  • Ensure all payment requests meet necessary criteria including proper coding, approvals, and correct sales tax application.


Accounts Receivable - Parents

  • Collect or refund parent volunteer fee.

  • Assist with tracking trip deposits and refunds.

  • Administer the release and tracking of Parent Equity deposits.

  • Administer OOSC billing and file monthly JK & OOSC grant requests.

  • Maintain and reconcile the Parent Equity tracking sheet for accuracy and completeness.

  • Set up new families in the database, and collect/ record initial payments upon school entry.

  • Generate and send invoices to families, process refunds to them, and apply payments to their accounts.


Payroll & Benefits

  • Assist with the semi-monthly payroll processing cycle.

  • Serve as the point of contact for group health benefits inquiries.

  • Administer the process of adding, updating, and removing staff members from benefit plans.


General Accounting & Administration 

  • Assist with the preparation of T4 & T4A.

  • Provide assistance with the quarter-end and year-end reconciliation processes.

  • Support the tracking of donations and the timely issuance of official donation receipts.

  • Actively work to improve and enforce the School’s goal of a paperless office environment.

  • Respond to auditors’ questions regarding credit cards, vendor payments, parent payments, etc.

  • Assist with the implementation and refinement of the Tuition Management module within MySchool.

  • Monitor the accounting email inboxes and respond to all inquiries in a professional and timely manner.

  • Perform other related duties as assigned by the Director of Finance. 


Qualifications and Experience

  • Recognized diploma in accounting or a certificate in bookkeeping.

  • Basic knowledge of fundamental accounting standards and principles.

  • Experience with digital document management or workflow automation.

  • Experienced with QuickBooks Online, MySchool, and Payworks is considered a significant asset.

  • Familiarity with commonly used Google Workspace apps (e.g.,  Google chat, Gmail, Google Sheet).

  • Minimum two (2) years experience with accounts receivable, accounts payable, and/or general bookkeeping preferably in a non-profit organization.
