SERVICE COORDINATOR


We are looking for a highly organized and detail-orientated Service Coordinator to support our service department. This position plays a critical role in prioritizing service jobs, coordinating parts ordering, managing billing, and ensuring compliance across service operations. The ideal candidate will have experience with scheduling, quoting, freight coordination (domestic and international), and supporting service technicians with equipment and compliance requirements. 


Key Responsibilities:


  • Coordinate and schedule service jobs to ensure timely completion and customer satisfaction.
  • Prioritize service requests and assign work based on urgency, resources, and customer needs.
  • Communicate with customers, technicians, and management to provide accurate updates on service progress.
  • Order, track, and manage parts to support service operations.
  • Prepare and process purchase orders for vendors.
  • Ensure timely delivery of required parts and equipment.
  • Oversee billing for all service jobs and parts transactions, ensuring accuracy and compliance.
  • Maintain service requests, job statuses, parts orders, purchase orders and billing documentation.
  • Obtain service and equipment freight quotes, schedule and coordinate shipments, including lifting equipment, and work with freight carriers to ensure timely and cost-effective deliveries.
  • Maintain compliance with DOT regulations, driver certifications, safety trainings, medical physicals and technician uniforms.
  • Create and maintain a directory of service providers and resources
  • Input and maintain service/customer related data of clients and client needs (most likely would be done in Field Service Management software (FSM)

QUALIFICATIONS:


  • Prior experience in service coordination, scheduling, and billing.
  • Experience in Quickbooks is preferred.
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Excellent customer service and communication abilities, both verbal and written.
  • Familiarity with freight coordination and lifting equipment.
  • Proficiency in Microsoft Office Suite and/or Field Service Management software.
  • High attention to detail, accuracy, and problem-solving skills.
  • Degree preferred, but not required
