Project Administrative Assistant
Employee-Owned Premier Countertop Manufacturer company is seeking a Project Administrative Assistant to join our growing Commercial department!
JOB SUMMARY:
Process Commercial contracts from start to finish, ensuring all necessary paperwork is received, completed, and filed, as well as communicating with all appropriate entities, internally and externally, for efficient scheduling and completion of workorders.
ESSENTIAL JOB FUNCTIONS:
· Creating job folders digitally, as well as physically, for all job orders.
· Organizing and processing all necessary paperwork related to each job.
· Occasional contact with customers as needed.
· Regular correspondence with multiple departments communicating job needs and requirements.
· Maintaining job folders and ensuring accuracy of information.
· Data entry utilizing multiple company systems.
ACCOUNTABILITIES:
Contribute to the overall success of the company by performing all assigned duties in a professional, timely and accurate manner. Follow all company safety policies and procedures as set forth in the Employee Handbook.
MINIMUM JOB QUALIFICATIONS:
· High school diploma or equivalent required.
· Prior experience in clerical work strongly desired.
· Prior experience working with legal paperwork, contracts, or clerical work in the construction industry strongly desired.
KNOWLEDGE, SKILLS & ABILITIES
· Strong written and oral communication skills to interact with customers co-workers in a professional and helpful manner in person or via phone or written correspondence.
· Ability to create, compose, and edit written materials.
· Excellent organizational skills and attention to detail.
· Ability to send/receive email messages, post information to a database or spreadsheet, and perform basic word processing and data entry.
· Previous experience utilizing Adobe Acrobat, Window work environment, and Microsoft Suite.
MENTAL AND VISUAL REQUIREMENTS:
Close mental and visual attention required to perform work dealing primarily with preparing and analyzing data and figures, performing accounting work, using a computer terminal, and/or extensive reading.
PHYSICAL ACTIVITIES AND REQUIREMENTS:
· Ability to sit for extended periods of time, walk, talk, hear, push, pull, reach, stoop, kneel, crouch, or bend, climb, and perform repetitive motions.
EQUIPMENT USED:
Ability to operate various office equipment including computer, printer, telephone, fax machine, and copier.
Computer Software: Company quoting software, Moraware, Microsoft Office Suite, Adobe Acrobat.
