About the Role:

The Community Events & Outreach Coordinator is responsible for organizing free and low-cost community recreation events for Children, Youth & Families; lawn games at community events, kids’ carnival, outreach programming, park activities, and similar community events. This role is responsible for bringing the brand of the Community Y and programs we offer to our Greater Halifax/Dartmouth community. The role includes financial budgeting planning, donation management, event volunteer supervision, safety, planning, leading and implementing Community recreation events in July through August. The coordinator will liaison with local Community event supports like local festival organizers, new immigrant serving agencies, other local agencies serving children & youth. The coordinator is also responsible for the general safety, development and implementation of event set up and clean up.  The purpose of these summer programs is to lead and coordinate summer fun, active, social recreation activities for children and families that are free or low cost.

In this role, you will:

  • Event Planning & Coordination: Organize and oversee community recreation events for children, youth, and families, such as lawn games, kids’ carnivals, and park activities. Develop and implement event schedules for summer programs (July–August) ensuring a mix of fun, active, and social activities. Plan and lead community events from setup to cleanup.
  • Community Outreach & Partnership: Represent the Community Y brand and promote programs to the Greater Halifax/Dartmouth community. Liaise with local community event organizers, immigrant-serving agencies, and other local agencies that support children and youth. Foster relationships with community organizations to enhance event participation and support.
  • Volunteer Management: Supervise and coordinate volunteers for events, ensuring smooth operation. Provide guidance and support to volunteers during events.
  • •Budget and Financial Management: Develop and manage event budgets, ensuring cost-effective planning and execution. Oversee the allocation of financial resources for events.
  • Safety and Risk Management: Ensure the safety of all participants during events, including children and families. Oversee the general safety protocols for event setup, operation, and cleanup, in addition to keeping with YMCA policy and safety requirements (i.e. off-site location, child safeguarding, etc.).  
  • Program Development and Evaluation: Develop outreach programming to engage diverse groups in community events. Evaluate the success and impact of events, making recommendations for improvement in future programming.
  • Event Promotion and Marketing: Promote community events to the local population, including marketing efforts and outreach strategies to increase attendance.
  • Other duties as required.

Education and Skills Qualifications: 

  • Knowledge in teaching or leadership one or all of the following; Children’s Programming, Running Events, Special Events, Recreation or Sports
  • Enrollment in Post-Secondary is an asset; Education, Recreation, Kinesiology, Community Development or related program.
  • Experience working with children and families in an outdoor recreational or community event setting.
  • Event Coordination experience or lesson planning an asset.
  • Community networking skills or related experience.
  • Demonstrated cross-cultural communication skills to work with youth, parents, and staff
  • Demonstrated ability to meet multiple, competing deadlines and priorities
  • Strong attention to detail 
  • Access to a reliable vehicle to travel or reliable transportation to various community locations
  • Flexibility to work outside of regular work hours on an as-needed basis
  • Organizational skills and the ability to manage multiple tasks.
  • First Aid & CPR certification is a condition of employment
