Location: 5991 Spring Garden Road, Halifax
Position Status: Full-time
Compensation: $45,000 – 49,000

About the Role:
The People & Culture (P&C) Administrator provides high-quality administrative and coordination support across the employee lifecycle, including recruitment, onboarding, HR systems administration, documentation, compliance tracking, performance cycle administration, and reporting, ensuring processes are accurate, timely, and accessible.
In this role, you will:
· Manage recruitment requisitions and job postings through our Applicant Tracking System (ATS)
· Oversee and manage the full onboarding lifecycle from hiring approval through onboarding completion, including job offer and employment agreements,
background checks, HRIS setup, and compliance monitoring for employees and volunteers
· Prepare and maintain a complex range of employment agreements, amendments, and employee change documentation in alignment with legal and organizational requirements
· Collaborate closely with Payroll to ensure accurate employee data and timely processing of changes
· Administer the ATS and provide guidance and training to YMCA leaders
· Oversee all compliance requirements of our YMCA’s Child Safeguarding program, including those associated with onboarding, background check renewals, and annual training recertification, ensuring our YMCA remains compliant with regulatory standards; participating in annual audits
· Oversee the organizational Performance Management process, including annual communication, leader follow-up, monitoring for completion, and preparing completion reports
· Participation in administration through reporting and KPI development and tracking
· Create, modify, and enhance P&C resources, such as forms, templates, policies, and processes as needed
· Represent the YMCA at career fairs and recruitment events, including planning, preparation, and materials coordination
· Conduct exit interviews and support employee offboarding processes
· Support the overall People & Culture operations as it evolves
Education and Skills Qualifications:
· Post secondary education in Human Resource Management
· 1-3 years’ experience in administration, coordination, or HR support role preferred
· Experience working in a high-volume, deadline-driven environment considered a strong asset
· Experience supporting recruitment and onboarding
· Experience working with HRIS and Applicant Tracking Systems considered as asset
· High level of accuracy and attention to detail in data entry and records management
· Ability to manage periods of high-volume, multiple priorities, and meeting tight deadlines
· Clear and professional written and verbal communication skills
· High level of reliability and accountability
· Able to work independently while contributing to a collaborative environment
· Strong problem solving skills
