Human Resources Assistant
ROLE OVERVIEW:
The Human Resources Assistant will provide essential support to the HR team, helping to keep daily operations running smoothly. This role includes handling administrative tasks, maintaining employee records, coordinating recruitment efforts, supporting policy implementation, and ensuring compliance with employment regulations. The HR Assistant also plays a key role in onboarding new staff, assisting with training initiatives, and responding to HR-related inquiries. The ideal candidate is organized, detail-oriented, and committed to creating a positive and supportive workplace.
WAGE: $18 per hour
HOURS OF WORK: 35 Hours
PERIOD OF EMPLOYMENT: May 11th, - August 28th, 2026
LOCATION: Hybrid Remote in Beamsville, ON
KEY RESPONSIBILITIES:
HR Administration:
Maintain accurate and up-to-date human resource files, records, and documentation.
Provide clerical support to HR staff, including document preparation and data entry.
Recruitment Support:
Coordinate logistics for recruitment efforts, including scheduling interviews, preparing interview questions, and organizing hiring events.
Participate in the screening of resumes and applications, identifying qualified candidates for further consideration.
Assist in the new employee onboarding process, including preparing orientation materials and coordinating orientation sessions.
Employee Relations:
Serve as a point of contact for employee inquiries, directing them to appropriate resources or HR personnel.
Participate in the development and implementation of employee engagement activities and initiatives.
Training and Development:
Coordinate logistics for training sessions, including scheduling and preparing materials.
Assist in tracking employee training records and evaluating the effectiveness of training programs.
Support the HR team in identifying training needs and opportunities for staff development.
Compliance:
Assist in ensuring compliance with all federal, provincial, and local employment laws and regulations.
Help maintain an up-to-date knowledge base of HR policies and procedures.
Participate in the review and updating of HR policies and procedures to ensure legal compliance.
Health and Safety:
Support the implementation of workplace health and safety policies and procedures.
Assist in tracking and maintaining health and safety records, including incident reports and workplace inspections.
Coordinate logistics for health and safety training sessions, ensuring employees are aware of workplace safety protocols.
Assist the HR Manager with site walks for industry partners, ensuring safe working conditions for staff and identifying any potential workplace hazards.
Maintain and update workplace safety documentation, ensuring compliance with Occupational Health and Safety regulations.
Act as a point of contact for basic health and safety inquiries, escalating concerns to the appropriate personnel as needed.

WORKING ENVIRONMENT / PHYSICAL DEMANDS:
Hybrid with frequent meetings through Microsoft Teams
PROGRAMS / SOFTWARE USED:
Payworks, Microsoft Dynamics CRM, Microsoft SharePoint, Microsoft Project, Microsoft Office. (Please note, no prior experience is required and access to programs/software is provided by Civiconnect).
QUALIFICATIONS:
Pursuing or completed a bachelor's degree in human resources, Business Administration, or a related field.
Experience in an HR support role is an asset.

ELIGIBILITY REQUIREMENTS:
Civiconnect receives government funding based on certain eligibility requirements. Please only apply if you meet the following criteria:
Must be between 18-29 years of age
Must be enrolled in part-time or full-time studies at a Canadian post-secondary institution with a co-op or internship
Must be a Canadian Citizen or Permanent Resident
Must be able to work full-time, in person, for a duration of 16 weeks.
You will need to provide certain administrative documents if offered employment including:
Proof of ID (copy of Birth Certificate, Passport, Permanent Resident card)
Proof of Enrolment letter from Registrar office
TD1 & TD1ON completed
Direct deposit slip from a financial institution
