Role Overview: 

Reporting to the Corporate Controller, the Property Administrator plays an essential role in supporting financial and administrative operations across the residential portfolio. This position is responsible for managing accounts receivable processes, arrears follow-up, tenant communication, and deposit handling. The role also provides critical backup support for SODA processing, RTDRS filings, and tenant move-out documentation. Accuracy, organization, and a service-oriented mindset are key to success in this role.


Key Responsibilities


Accounts Receivable & Arrears Management

  • Monitor arrears and proactively follow up with tenants to resolve outstanding balances.
  • Communicate with residents regarding late payments, NSF fees, and admin charges.
  • Prepare and issue Letters of Demand and eviction notices as per legal timelines.
  • Generate weekly arrears listings and share with the property management team.
  • Record all arrears activity in Yardi and internal tracking tools.


Payment & Deposit Processing

  • Process in-office payments and e-transfers and ensure accurate data entry in Yardi.
  • Apply NSF fees, late fees, and other charges in line with company policies.
  • Maintain transaction records and ensure accuracy and compliance with financial procedures.


SODA & RTDRS Support (Backup)

  • Provide backup support for Security Deposit Accounting (SODA) processing.
  • Assist in preparing and reviewing RTDRS documents, ensuring timely and accurate submissions.
  • Work with property managers to finalize SODAs post move-out and support documentation compliance.


Move-Out Administration (Backup)

  • Assist with move-out file closure, deposit reconciliation, and related documentation.
  • Ensure internal processes are followed to maintain accuracy and efficiency.


Administrative Support & Compliance

  • Maintain tenant files and documentation in Yardi and shared platforms.
  • Support audits, reporting, and ad hoc administrative tasks.
  • Provide day-to-day administrative assistance to the corporate and site teams as needed.


What You Bring

  • High school diploma required; post-secondary education in business or administration is an asset.
  • Excellent organizational skills with a strong attention to detail.
  • Clear and professional written and verbal communication skills.
  • Experience using Yardi or similar property management systems.
  • Basic knowledge of leasing/property management processes.
  • Familiarity with eviction procedures and RTDRS filings is a strong asset.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • A proactive, solution-focused mindset with strong problem-solving abilities.
