Position Status: 35 hrs/week, from June 22nd to August 28th
Compensation: $17/hr

About the Role:
Under the leadership and direction of the Program Coordinator, and in collaboration with program staff, the Program Assistant will provide direct, hands-on support in the daily operations of programs and services. This role focuses on assisting staff and clients in a variety of tasks, ensuring smooth delivery of services and program activities. The ideal candidate will be detail-oriented, proactive, and ready to assist with a range of service delivery tasks in a dynamic, client-focused environment.
In this role, you will:
· Greet and support clients during program visits, assisting with check-in, navigation, and basic inquiries.
· Provide guidance to appropriate staff, services, and resources as needed.
· Prepare client materials such as welcome packages, forms, and handouts.
· Offer support to ensure a welcoming, safe, accessible, and inclusive client experience.
· Support basic administrative tasks including data entry, filing, and documentation.
· Assist with setup, organization, and cleanup of workshops, meetings, and community events.
· Prepare and maintain program supplies, materials, and spaces.
· Collect basic participant feedback to support program improvement.
· Provide general operational support to ensure smooth program delivery.
· Maintain a clean, organized, and welcoming environment for clients and staff.
· Distribute program materials and support community outreach activities.
· Assist with client communication via phone, email, and social media.
· Support community events by sharing program information and encouraging participation.
· Remind clients of upcoming activities and support onboarding of new participants.
Education and Skills Qualifications:
· Experience working or volunteering in client-facing roles within community services, settlement, education, or social service settings
· Strong interpersonal skills with the ability to greet, support, and engage clients in a welcoming and respectful manner.
· Ability to communicate clearly and effectively with clients, staff, and community partners in both verbal and written forms.
· Basic administrative skills, including data entry, filing, documentation, and handling confidential information.
· Experience supporting events, workshops, or community programs, including setup, coordination, and cleanup.
· Strong organizational skills with the ability to manage multiple tasks and maintain attention to detail.
· Ability to work collaboratively within a team and take direction while also working independently when required.
· Familiarity with community resources and the ability to guide clients to appropriate services is an asset.
· Basic proficiency in Microsoft Office (Word, Excel, Outlook) and comfort using email and social media platforms for communication support.
· Ability to maintain a professional, inclusive, and welcoming environment for diverse clients and community members.
· Flexibility to support evenings or weekends based on program needs.
