Finance Manager

This is a remote role Full-time

Ardea Outcomes is seeking a Finance Manager to join our growing team. The role will report directly to the Director of People and Operations. This position will be remote within Canada, and the candidate will be based out of their designated home office.

Job Overview

The Finance Manager is crucial in managing and executing day-to-day finance, accounting, and project finance operations at Ardea Outcomes. This position involves maintaining financial records, supporting the project finance function, and managing vendor procurement. The Finance Manager also works closely with the Director of People and Operations to ensure financial operations align with the company’s strategic goals. This role is pivotal in maintaining financial accuracy, supporting project budgeting, and fostering relationships with clients’ finance teams.

How You Will Contribute

Financial Management & Bookkeeping:

  • Manage day-to-day accounting operations, such as accounts receivable, accounts payable, bank reconciliations, and general ledger entries.
  • Oversee payroll processing, benefits, and employee expenses and ensure compliance with HR-based control systems.
  • Prepare monthly financial statements and manage year-end closing and adjusting entries.
  • Record and process transactions and journal entries monthly using QuickBooks, FloatCard, Plooto, Hubdoc, and other cloud-based software.
  • Maintain and update financial records, which include legal contracts, registrations, insurance policies, and financial audit records.
  • Assist in responding to inquiries from external auditors, tax consultants, and legal advisors to ensure compliance with financial regulations and successful completion of audits and tax filings.
Project Finance:
  • Support the Project Management team in overseeing project financial and contractual performance.
  • Maintain and review project budgets, monthly billing trackers, and resource allocation, performing regular financial analysis.
  • Ensure timely invoicing of project deliverables each month, aligning with billable activities and milestones achieved for accurate and prompt billing processes.
  • Manage applications and claims for government funding programs and research partners.
  • Manage the Change Orders process, including tracking out-of-scope activities and reconciling billing changes with clients.
  • Collaborate with Project Managers and service/product delivery teams to support project forecasting and develop necessary financial metrics.
  • Support the business development team through proposal development, contract budget development, contract setup, and vendor qualification.
  • Build strong relationships with our clients’ procurement and accounting teams, ensuring effective communication and financial collaboration throughout projects.
Vendor Procurement:
  • Manage vendor relationships, ensuring cost-effective procurement processes that meet company needs.
  • Assist in negotiating vendor contracts to ensure favorable terms and alignment with project requirements.
  • Set up and oversee subcontractors and vendors in Ardea Outcomes' systems, managing the vendor qualification process.
Collaboration & Strategic Support:
  • Collaborate internally to support the development of annual departmental and company budgets and monitor budgets throughout the year.
  • Work closely with the Director of People and Operations and CEO to provide strategic financial insights and support operational planning.

What Will Help You Be Successful

  • Bachelor’s degree in business administration, finance, accounting, or a related field.
  • 5+ years of relevant work experience in accounting, finance, and project finance roles.
  • Chartered Professional Accountant (CPA) designation is required.
  • Proficiency in financial software, including QuickBooks and Excel.
  • Strong project management skills with experience in financial analysis and budget management.
  • Excellent ability to manage multiple tasks simultaneously and solve problems creatively.
  • Able to make informed decisions in a fast-paced and sometimes ambiguous environment.
  • Excellent communication skills with the ability to build and maintain strong relationships.
  • Experience in managing vendor procurement and negotiating contracts.
  • High attention to detail and ethical behavior.
  • A proactive approach to learning and skill development.
  • Adaptability and a positive outlook towards continuous growth in response to changing organizational demands.

Work Location: This position is remote within Canada, from a designated home office.

Work Conditions: Occasional travel for company meetings may be required.
