Summary of Duties:


Reporting to the Operations Manager Health, the Office Administrative Assistant supports the Lil’wat Health & Healing Reception and Medical Transportation Coordinator in their day to day activities.  This role is fast paced with a wide array of administrative duties.


Key Deliverables and Expectations:


  • Responds to incoming communication including answering telephone calls, checking telephone messages, greeting and directing visitors, collecting and distributing incoming faxes, collecting and delivery incoming mail.
  • Assists staff by providing typing, photocopying, making posters and signs, ordering business cards, creating and distributing invitations for events, communicating schedules.
  • Assists community members to complete forms on request.
  • Assists with administrating the First Nations Health Authority Health Benefits Program, including processing of patient travel cheques, scheduling & booking rooms, transportation, data entry, communication with patients, etc.
  • Familiar with FNHA resources in order to share information with patients.
  • Assists with the communication between self and external partners including; hospitals, physicians, nurses and social workers, etc.
  • Performs other duties as assigned by your supervisor. 

Experience and Attributes: 


  • Completion of Grade 12 or an equivalent combination of education, training, and experience.
  • Minimum of one year experience as a Receptionist or Administrative Assistant, including familiarity with multiple line switchboard phone systems.
  • Certification or training in Reception, Office Administration, or Business Administration is an asset.
  • Training in First Nations Health Benefits Patient Travel Administration is an asset.
  • Proficient in computer applications including Microsoft Word, Excel, Outlook, E-requester.
  • Strong knowledge of community programs, services and First Nations Health, including internal & external programs would be considered an asset.
  • Willing to take work related training programs and learn internal software.
  • Outstanding written and verbal communication skills in the English language.
  • Strong organizational skills, meticulous attention to detail and time management skills.
  • Ability to meet deadlines prioritizes assignments, manage multiple tasks simultaneously and maintain confidentiality.
  • Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members.
  • Valid BC Class 5 Driver’s License, a clean Driver’s Abstract, and a reliable vehicle.
  • Must be able to provide a clear criminal record check, vulnerable sector.
  • Evening and weekend work may be required.
