Human Resources Administrator

Provide administrative and operational support for Human Resources functions including payroll administration, recruitment support, onboarding and offboarding activities, employee records management, benefits administration, and employee communications. Responsible for ensuring accurate employee information, supporting a positive employee experience, and assisting with day-to-day HR operations.

Responsibilities

  • Administer employee payroll processes including setup, payroll data maintenance, timesheet verification, payroll processing support, and record management to ensure accurate and timely employee compensation.
  • Coordinate onboarding and offboarding activities ensuring positive employee experience and timely completion of documentation, system access, workplace introductions, and employee communications.
  • Provide administrative support throughout the recruitment process including job description development, job postings, candidate screening, interview coordination, reference checks, and hiring documentation.
  • Maintain accurate employee files and records, ensuring documentation is complete, organized and current
  • Administer employee benefit programs, retirement savings plans, and related employee programs through enrollment, changes, record maintenance, and employee support.
  • Coordinate and administer employee performance review processes, including probationary reviews, annual evaluations, documentation management, and review cycle tracking.
  • Support compensation programs through salary review, compensation record maintenance, wage administration, and compensation-related reporting.
  • Administer employee leave and absence processes including vacation tracking, leave documentation, record maintenance, and employee support.
  • Prepare and distribute employee communication including welcome announcements, departure notices, staffing updates, and support employee engagement initiatives and events
  • Provide administrative support to Human Resources operations through HR reporting, data management, document preparation, process coordination, and continuous improvement initiatives.
  • Administer the organization’s Occupational Health and Safety (OHS) program, including the digital safety board, emergency preparedness, inspections, safety training, and corrective actions.
  • Support the execution of HR-related administrative tasks, including onboarding logistics, employee orientation, coordination of training, return of company property, and parking and benefits-related materials.
  • Coordinate and deliver internal events, team-building activities, and employee recognition initiatives that foster connection, engagement, and alignment with company culture.
  • Support employee engagement programs and tools, including onboarding experiences, employee surveys, training logistics, and the development and maintenance of intranet content related to employee programs.

Training and Experience

  • Post-secondary education in Business Administration, Office Administration or related field experience
  • College diploma or degree in Human Resource Management
  • Five years exposure to human resources in an office environment

Skills and Knowledge

  • Excellent computer skills including MS Outlook, MS Word, MS Excel, PowerPoint
  • Familiarity with HR documentation, onboarding process
  • Ability to manage logistics and planning for in-person and virtual team events
  • Experience using platforms such as SharePoint, Payroll systems including PayWorks
  • Document Management and file structure implementation
  • HR acumen to build and strengthen HR practices
