Role: 

As Group Fitness & Registered Fitness Programs Coordinator, you will provide front-line supervision and leadership to a team of Group Fitness Instructors, ensuring the coordination and delivery of high-quality, safe, and engaging experiences and programs. This role is responsible for coordinating day-to-day operations, including scheduling, team support, and performance monitoring, while maintaining a strong presence on-site to address participant needs and operational issues. You will also support program planning, coordination and administration, contribute to team training and development, and ensure compliance with all safety protocols and organizational policies to foster an inclusive, engaging, and positive environment for all participants. 

Hours: This is a full time position and includes 40 hours per week. Flexible workdays and varied hours based on facility and department needs. This role requires one day on the weekend and evenings.

 Responsibilities: 

Program and Offering Coordination, Administration and Delivery:

  • Build strong relationships with our Group Fitness audiences by fostering an active, social, inclusive and engaging environment.
  • Participate in exploring, securing, testing, and implementing new trends and types of fitness experiences/services for our customers on a quarterly basis through the service design lens. 
  • Assist the Fitness & Training Manager with developing the next evolution of fitness programs like HIIT, MIIT and LIIT, our registered fitness classes like kickboxing, pre & post natal, teen weight training, weight training and more.
  • Assist the Fitness & Training Manager with planning, developing and evaluation of Group Fitness, registered fitness classes with the goal of creating meaningful touchpoints for the customer’s journey.
  • Support the use of new technology within the Boutique Studios for cycling and bootcamp-based classes, including use of heart rate monitors and electronic challenges.
  • Oversee the cleanliness, safety, and maintenance of all the areas of the group fitness facilities, including being aware of any fitness classes taking place during your shift and making sure the space is ready for our members and the instructors.
  • Work alongside your direct leader to promote Group Fitness offerings and provide accurate communications to current and future program participants.
  • Take the lead on responding to customer inquiries to resolution.
  • Perform Group Fitness administration duties including: (Manage waitlists, enrolments and payments in Avocado, Complete data uploads to Avocado for Group Fitness programs, Answering emails and phone calls daily, Complete weekly inventory of equipment and supplies)
  • In collaboration with the Fitness & Training Manager, develop quarterly schedules for Group Fitness and Registered Fitness offerings and ensure alignment within our registration software AVOCADO.
  • Support with the review of program content on the website related to registrations.
  • Support with canceling or merging classes where required due to low enrollment or other reasons requiring cancellation.
  • Assist with the development of the Group Fitness budget and understand and monitor key components that influence targets.

Leadership

  • Support your direct leader with recruiting, mentoring, developing performance, targets and performance management of the Group Fitness Instructors utilizing Human Resources best practices to ensure a high-performing team.
  • Lead and provide clear direction and expectations to the Group Fitness Instructors on roles and responsibilities and empower and hold the team accountable for achieving established work- plans and targets through the regular follow-up, feedback and coaching.
  • Be accountable for the development, progress and evaluation of work-plans and performance targets for the Group Fitness team.
  • Participate in the assessment, revisions, and revamping operational policies, procedures and training manuals to ensure they are aligned and support business and team practices.
  • Perform regular scheduling and payroll for the Group Fitness Instructors.
  • Observe classes daily to ensure that Vivo values and standards are being upheld throughout the delivery of all offerings by engaging in the Group Fitness activities daily by remaining accessible and visible to participants and instructors.
  • Lead weekly / monthly debriefs with the teams and report back to your direct supervisor.
  • Assist in championing Vivo at special events (ie. open house, community events, etc.) 

Safety

  • Demonstrate a high standard of supervision, risk assessment, Vivo’s best practices, and duty of care by actively maintaining health and safety standards, first aid incidents, and equipment inventory of first aid kits.
  • Lead and manage first aid incidences that occur in Group Fitness classes.
  • Assist with facilitating in-services for instructors demonstrating knowledge in Vivo’s Health & Safety policies and procedures to train all Group Fitness instructors.
  • Perform and lead all preventative maintenance on equipment (tools provided).
  • Recommend necessary replacement items to maintain service, ensure safety or improve efficiency. Working with direct leader order parts and equipment from the most appropriate and cost-effective sources available.

Qualifications: 

  • Post-Secondary Diploma and/or University Degree in healthy living, experience and place making, kinesiology, social innovation, and business etc.
  • Group Fitness/Fitness certifications through canfitpro FIS, AFLCA, CALA or equivalent for group exercise.
  • Certifications for older adults and pre & post-natal are considered assets.
  • 3+ years’ experience in the fitness field. 
  • Minimum 3 years of leadership and supervisory experience.
  • Current Intermediate (Standard) First Aid and CPR-C/AED certifications.
  • Valid Police Information Check with Vulnerable Sector Search completed within the past 2 years for current staff and past 2 months for new staff upon hire.
