The Position:
In support of Havergal’s pursuit to enroll mission fit students and families, the Admission Assistant will provide outstanding customer service while administering the admission processes and procedures relating to enrollment in the Junior School.
Specific Accountabilities:
Admission Process Management and Customer Service
- Ensures all families feel welcome and supported in their interactions with Havergal.
- Responds to enquiries concerning admission to the Junior School.
- Responds to all email inquiries on the admissions@havergal email account, redirecting when appropriate.
- Receives, verifies and processes applications for the Junior School, assisting with Upper School applications, if necessary.
- Maintains and updates JS applicant data, following up with any families who need to complete forms, send in reports or provide additional documentation.
- Conducts and arranges tours for families, working closely with the JS Welcome Committee under the guidance of the Associate Director of Admission.
- Arranges interviews for applicants and their parents for the Admission team.
Data Management
- Oversees the Admission module of Havergal’s database (Veracross) while ensuring that each applicant family has a seamless online experience.
- Responsible for reviewing, updating, collating and managing all Junior School applicant data.
- With the Associate Director manages the Admission team calendar, ensuring deadlines are met and that the team is aware of upcoming events that may have an impact on the daily operations of the office (travel, testing dates etc.).
- Supports Junior School Admission Team in the production and organization of admission decision materials, including managing software, running reports and producing materials in advance of meetings.
- Manages the online calendar management software.
Event Management and Outreach
- Assist Associate Director of Admission with assessment day procedures (planning, set up, coordination), scheduling applicant visits, copying any materials needed by the team.
- With input from the Director and Associate Directors, coordinates all admission events including but not limited to: Open House, JS Coffee and Conversations, student assessments, and new student and family onboarding events.
- Provides administrative support for all Junior School Admission events including producing name tags, room bookings, catering, etc.
- Attends weekly Event Management meeting on behalf of the Junior School team.
- Attends evening and weekend admission events when necessary.
- Assists with Upper and Boarding School tours during the summer.
- Other duties as required.
Qualifications, Knowledge and Experience
- Related post-secondary education or equivalent work experience.
- Minimum 3 years’ experience working directly for senior management.
- Experience in an educational setting a definite asset.
- Apply advanced technical knowledge, organizational and analytical skills related to (Google suite, Word, Excel and databases).
- Ability to design, develop, troubleshoot and optimize systems and software with confidence.
- Event planning and coordination experience and knowledge.
- Demonstrated ability to juggle competing priorities and to re-prioritize throughout the day in a fast-paced environment.
- Must handle sensitive information in a highly confidential manner.
- Excellent interpersonal and communication skills, both oral and written.
- A self-starter who takes initiative, is proactive, problem solves and is a team player.
- Able to react with grace under pressure and treat all families with dignity.
