Your Role
The Administrative Officer provides high level administrative and operational support to the Senior Management Team (SMT) and the Board of Directors. Reporting to the Chief Executive Officer, this role acts as a key connector across departments and stakeholder groups, supporting executive operations, Board governance, and organization wide coordination.
This role is well suited to an experienced Administrative Officer who wants to work in a growing organization, with a renowned brand, that’s part of a worldwide movement to improve patient and family centered care for families travelling to receive pediatric medical treatment.
In addition, this role serves as Co-Chair of the Ronald McDonald House Alberta Culture Committee, supporting membership and acting as the primary liaison with the SMT. Leveraging direct access to senior leadership, the role helps keep SMT informed of culture initiatives, supports planning and logistics for all-staff engagements, and helps address priorities for organizational culture.
This is a hybrid role supporting the Alberta team and requires travel to Ronald McDonald Houses across the province. Regular work from a local Ronald McDonald House is required. The role works 32 hours per week (0.8 Full Time Equivalent), with flexibility in how those hours are scheduled (for example, four full days per week, shorter days across five days, or other agreed-upon arrangements), based on operational needs and individual circumstances. The successful candidate for this role must live in or around Calgary, Edmonton or Red Deer.

Your Key Responsibilities
Executive, SMT, and Board Support
Act as the primary point of contact for the Board and support the CEO in execution of their governance responsibilities.
Support the CEO’s day-to-day activities, including travel and logistics for CEO, certain SMT, and Board members.
Manage creation, modification and storage of all documentation tied to the SMT and Board.
Coordinate and manage select Board and Committee meetings, including logistics, materials, minutes, etc.
Lead and support with various projects, including coordination of special events, retreats, and all-staff meetings.
Act as a trusted advisor to the CEO, conduct research, prepare reports, and sometimes act on behalf of SMT.
Secure and handle sensitive data and information and maintain confidentiality.
Administrative Responsibilities
Oversee administrative systems, directories, and access for staff and Board members.
Support compliance, partnerships, stakeholder recognition, and general office administration.
Manage supplies, records, and required documentation to support efficient operations.
Track license compliance with regard to program expansion.
Negotiate, track, and report on province-wide hotel partnerships.
Oversee WestJet travel vouchers.
Provide ad hoc departmental support and all other tasks as required.
Culture Committee, Co-Chair Responsibilities
Co-lead the Culture Committee, contributing to governance, membership management, and alignment with organizational values.
Oversee logistics for committee activities and initiatives.
Act as the primary liaison between the Culture Committee and the SMT.
Required Qualifications
5+ years of experience in a comparable role.
Excellent computer skills. Highly proficient with the Microsoft Office Suite, especially SharePoint, PowerPoint, Word and Excel.
Highly organized and detail oriented, with the ability to manage competing priorities and multitask effectively.
Strong communicator with high emotional intelligence and sound judgment.
Proactive problem solver who is adaptable, flexible, and comfortable in a fast paced, hybrid work environment.
Self-directed team player with the ability to work collaboratively and influence outcomes through others.
Must provide a clear Police Information Check.
Nice to Haves
Experience with Adobe, SurveyMonkey, Board Effect (or other Board portals) is an asset.
Past work with Boards and non-profits is an asset.
