Receptionist – Community Services 

At Maple Ridge / Pitt Meadows Community Services our Receptionist holds a critical role within the Agency and is often the first point of connection for people reaching out for support. This position is becoming available as our well respected and well loved incumbent prepares for retirement.

Our Receptionist is often the first voice someone hears and the first face they see, sometimes at moments when they are experiencing crisis, distress, or uncertainty. The reception area is a fast paced and dynamic environment, with many demands happening at once. The role regularly involves responding with calm and clarity when first responders attend the site, when individuals experiencing mental health challenges present in unpredictable ways, or when community members arrive feeling overwhelmed, upset, or frustrated.

How these moments are handled matters. The Receptionist helps set the tone for safety, respect, and care within the space. This role requires emotional steadiness, sound judgment, and the ability to remain grounded under pressure, while continuing to offer warmth, professionalism, and a welcoming presence throughout a very busy day.


ACCOUNTABILITIES

Key Responsibility Areas:

Welcome clients, community members, and visitors in a professional, friendly, and non-judgmental manner.

strong working knowledge of Office 365, including Excel, Word, Microsoft Forms, and SharePoint.

Answer phone, email, and in person inquiries and direct individuals to appropriate staff or programs.

Provide accurate information about agency programs and services to clients and external partners, while connecting individuals to appropriate local, provincial, and federal resources. Strong knowledge of these resources is essential.

Liaise with community organizations and agencies to support client needs and access to services.

Sort and distribute incoming mail and coordinate outgoing mail and deliveries.

Complete basic computer tasks including data entry, database updates, word processing, and preparation of correspondence, forms, and reports.

Track office supply inventory and act as the primary liaison with office supply vendors to ensure adequate stock.

Maintain financial records related to petty cash, purchase orders, and cheque requisitions.

Maintain and update filing systems, inventories, mailing lists, phone lists, and other records as required.

Handle cash transactions, issue receipts, and maintain petty cash according to Agency guidelines.

Ensure the Agency lobby, Community Room, and shared spaces are clean, welcoming, and well maintained.

Order, receive, and manage office supplies and materials, including negotiating pricing with vendors when appropriate.

Programming telecom and software systems.

Navigating extension lines, setting up greetings, and orientating staff on voice mail systems.

Perform other related duties as required.


  QUALIFICATIONS

 Education, Training & Experience

High School diploma plus completion of a program of up to one year in business or office administration, or   an equivalent combination of education and experience

A minimum of three years recent, related experience, or an equivalent combination of education, training, and experience


Additional Requirements:

  Criminal Record Check is required.

  Current First Aid and CPR Certificate.

  Valid and unrestricted Class 5 BC Driver’s License with access to a safe and reliable vehicle.

  Acceptable Driver’s Abstract (provided annually).

  Position requires Union Membership.


Knowledge, Skills & Abilities

Knowledge of social services and community resources within the Maple Ridge and Pitt Meadows area

Basic computer proficiency including Microsoft Word, Excel, PowerPoint, and Outlook

Experience operating a multi line switchboard

Ability to operate standard office equipment including computers, copiers, fax machines, voicemail, and postage equipment

Strong listening skills and the ability to support clients in a respectful, non-judgmental way while directing them to appropriate services


Shift/Schedule/Hours per week: 35 hours per week; Monday – Friday 8:30 AM to 4:30PM 

Expected Start Date: ASAP

Wage/Salary: starting at $25.95/hour 

Grid Level: 10
