Job Summary
The Warehouse Supervisor ensures the warehouse operates in an effective and efficient manner at all times, minding the Italian Centre Shop Ltd’s policies and procedures at for all actions and decisions. They are to support and follow the Italian Centre Shop Ltd.’s process, mission and values at all times.
Our Process

As a Warehouse Supervisor, you are to ensure your department has effectively established avenues in which employees are able to productively contribute to the success of our business. Such avenues include:
- Ensuring coaching is taking place for new hires during probationary period
- Conducting one on one reviews with warehouse employees
- Participating and sometimes leading department operational, strategic, and governance meetings
- Coaching your team on our process, and ensuring they understand and are committed to the Italian Centre Shop Ltd.’s aim and values
- Actively utilizing effective listening skills, and recognizing employee contributions
Duties And Responsibilities
Warehouse Tasks:
- Participate in financial and warehouse meetings.
- Host department meetings
- Provide weekly updates to the Warehouse Manager.
- Create monthly schedules.
- Approve weekly timesheets.
- Supervise warehouse and driver teams.
- Manage staff time-off requests.
- Review driver checklists with the manager.
- Coordinate deliveries and update product lists.
- Oversee wholesale orders and accounts receivable.
- Coach the Team Lead.
- Stay updated on product prices and availability.
- Conduct bi-annual inventory.
- Handle intercompany orders and communication.
- Train staff on receiving procedures.
- Pick orders for customers.
- Record and address disciplinary actions.
- Coordinate school order deliveries.
- Coach and oversee warehouse staff.
- Ensure proper procedures and item codes are used.
- Scheduling pickups.
- Other duties as required.
Wholesale Order Desk/Accounts Receivable tasks
- Prioritize providing exceptional customer service to deliver a positive customer experience thereby cultivating a positive reputation for the company and fostering customer loyalty.
- Answering the main ICS phone lines during office hours while taking orders and directing calls; first point of contact for all phone calls.
- Checking the emails and fax orders; encouraging customers to email instead of fax.
- Inputting all incoming wholesale, restaurant, and intercompany orders.
- Shipping and invoicing the orders based on delivery and pick-up dates.
- Issuing credits.
- Making weekly calls to wholesale accounts for outstanding accounts, emailing statements, invoice copies, and receipt copies for payments.
- During slow seasons, call customers to inform them of new products, new price lists, and/or seasonal products arriving (for example, truffle season).
- Opening mail and distributing it accordingly.
- Informing customers of "shorts" if needed.
- Continuously manages the customer database for accuracy during regular customer interactions or during slow times (updating customer information).
- Processing accounts and all incoming payments.
- Opening new customer accounts and sending proper information for new accounts.
- Comparing statements to invoices and investigating any discrepancies.
- Filing all copies of invoices and payments received.
- Escalating any unresolved SMS issues to the IT consultant
- Emailing or mailing monthly statements for all wholesale customers.
- Following all policies and procedures within the department.
- Presenting and maintaining a safe work environment.
- Communicating professionally and respectfully with all other departments within the store.
- Opening all incoming company mail and distributing it daily.
- Promoting a positive company image by actively engaging with employees, customers, suppliers, and the community.
- Representing ICS both in and out of the store.
- Sharing their ideas or observations with the manager regarding new items or trends in the market.
- Adhering to all food safety protocols, standard operating procedures, health and safety policies, and other programs and initiatives.
- Other duties as required.

QUALIFICATIONS
Requirements
- Valid Class 5 drivers license with a clean drivers abstract.
- Experience operating a forklift with a valid forklift ticket would be an asset.
- Proficient in the use of computers with working knowledge of Microsoft Word, Excel, and Outlook
Education/Experience/Licenses
- High School or GED from an accredited school system or program
- Post-secondary education with a business or management focus is considered an asset
- A minimum of 2 year past Supervisory experience
- A minimum of 2 years past experience with a warehouse/grocery role
- Familiarity with Microsoft Office Programs (Excel, Word, Outlook), and SAP

WORKING CONDITIONS
- Monday to Friday schedule
- Availability to work evenings, weekends, and overtime occasionally.
- Required at times to work with challenging customers and/or situations.
- Exposed to hot and cold environments.
- Working in and outdoors as well as freezers and coolers.
- Exposed to loud noises and moving equipment.
Physical Requirements
- Long periods of standing, walking, and sitting.
- Frequent motions include bending, twisting, squatting, pushing, pulling, and reaching.
- Manual and repetitive tasks.
- Required to lift up to 22.5 kg (50 lbs) on a regular basis.
