Position Details
• Term Position – until April 2026 or the incumbent returns to the position
• Full-Time - 75 hours bi-weekly
• Monday to Friday
• Day Shifts: 8:30 am until 4:30pm (flexible)
• $1923.93 bi-weekly (salary currently under review)
• There will be a three-month probationary period
About Us
Initiatives for Just Communities (IJC) is a non-profit, charitable organization that operates four community justice programs: El'dad Ranch, Touchstone, Open Circle, and CoSA. These programs support people with intellectual disabilities, Fetal Alcohol Spectrum Disorder (FASD), and those who are currently, or have been previously, incarcerated. The Position
Reporting to the Residential Program Manager, the Assistant Program Manager is responsible for providing administrative support for the residential program. The Assistant Program Manager oversees elements of hiring, financials, information maintenance, and Coordinator support, to ensure that the program continues to run smoothly and efficiently.
What you will do
• Provide Program Coordinator support, including providing direct supervision and coaching to established Coordinators, and completing general orientation and training with new Coordinators.
• Provide leadership, guidance, and support to program staff, fostering a positive work environment and promoting professional development.
• Cultivate a healthy workplace culture within the program by fostering a supportive and inclusive environment.
• Coordinate team meetings and collaborate with Case Management, HR, Finance, and Operations departments to ensure effective communication and coordination of supports.
• Conduct performance management activities, including performance monitoring, coaching, and the preparation of performance appraisals as required.
• Participate in the hiring process, attending interviews when Coordinators are unavailable, consulting with Coordinators and Human Resources to ensure that hiring needs are met and the staff in place match the funding allotments of the program.
• Report and submit all necessary documentation related to their team to Payroll and HR following IJC Procedures.
• Oversee elements of program funding, i.e. updating, editing, and maintaining current resources in the program funding sheets, as well as examining and responding to questions about the payroll summary.
• Approve some program expenses, including mileage and invoices up to $500.
• Manage Sharepoint access for employees and input accurate, up-to-date information on the Program Sharepoint Site, in collaboration with IT and Case Management.
• Maintain and establish program facilities as necessary for the program including researching and scheduling repairs, facilitating Residential Care Licensing reviews, establishing new residential homes, and ensuring that necessary cheque requisitions are sent on time.
• Other duties as assigned.
Qualifications
Required
• Post-secondary education in a related social services field or the equivalent in work experience. Suitable combination of education, training, and experience may be considered.
• Minimum 3 years' experience in a supervisory capacity providing leadership and guidance.
• Excellent interpersonal skills, with the ability to build working relationships, manage conflict, and provide direction.
• Excellent verbal communication skills with the ability to articulate in a clear and effective manner.
• Excellent written communication skills with the ability to draft correspondence in a clear and effective manner.
• Strong desire to work with individuals who live with intellectual disabilities.
• Excellent critical thinking and creative problem-solving skills
• Demonstrate cultural competence and understanding of diversity, inclusivity, and equity issues. This includes respecting and valuing different cultural backgrounds, beliefs, and identities to ensure equitable access to services for all clients.
• Strong planning and organizational skills.
• Ability to assess risk, setting and modelling safe & appropriate boundaries.
• Intermediate level computer skills including Microsoft Office Suite, including Sharepoint.
• Strong financial acumen.
• Ability to maintain confidentiality, including adhering to PHIA and FIPPA.
• Ability to work under pressure and handle work-related stress
• Participation in training opportunities and willingness to learn and adapt to new processes or procedures.
• Understanding of the issues and challenges associated with intellectual disabilities and FASD.
Assets
• Experience working with Payworks.
• Previous experience working with individuals with disabilities
Conditions of Employment

• Satisfactory Criminal Record Check with Vulnerable Sector Search.

• Valid Class 5 Driver’s License with satisfactory Driver’s Abstract.
• Successful completion of MSDs certification and any other compulsory safety courses.

• Participate in on call rotation.
