SEC maintains its head office in Newmarket and provides public service signature expertise for immigrants, newcomers, early learning and development, Family Justice Service, Career and Labour market integration through programs such as Supervised Access, EarlyOn Child & Family Centres, Welcome Centre for Immigrant Services-Newmarket and several Before & After School and Licensed Childcare Programs.

 

The Opportunity

 

The Operations Supervisor is responsible for planning daily and weekly workloads to achieve departmental and facility objectives through the corporate values of integrity, diversity and delivering expected results. This role is charged with working collaboratively with the Director to effectively and efficiently manage the development and directions to drive the growth of programs and services, team productivity and promote high quality customer satisfaction. The Operations Supervisor will build positive and respectful relationships with community partners, stakeholders, school administration, children and families.

 

Key Job Responsibilities:

 

Responsible for quality programming in main sites, mobile sites, outdoor locations and virtual platforms all four seasons

Maintain a welcoming, safe and healthy environment for children and their parents or caregivers

Plan for, and supervise a variety of programs and activities to ensure that division Outcomes are met or exceeded

Monitor departmental performance against goals to ensure that progress is being made, and that corrective action is taken if necessary

Maintain and monitor all appropriate reports according to standards and ensure optimum performance

Enhance and develop policies, procedures and service systems to meet the goals of the department

Ensures adherence to established methods to measure and maintain customer service excellence  standards

Deliver prompt and efficient resolution of customer inquiries and complaints to improve overall customer satisfaction including inquiries and complaints which are escalated from the staff team

Meet regularly with partner agencies to develop and maintain relationships and facilitate resolution of issues/problems

Assist with the recruitment, hiring and terminations of staff

Responsible for the full cycle performance management of staff team including coaching, mentoring and skill development

Ensure that all reporting employees adhere to company policies and procedures

Achieve positive morale in the department by setting and demonstrating a strong collaborative business ethic for dealing with employees, suppliers and customers

Develop and implement new strategies for creating or improving processes and procedures to improve division performance and to promote a positive team atmosphere

Analyzes and reports on the daily, monthly and annual department's key performance indicators and industry trends

Consider unit costs of planned programs and return on investment of any training or development

Budget monitoring of the department expenditures

Develop and implement strategies around improving the financial performance of the department

Communicates the mission, values and operating principles of the organization to employees, and other stakeholders

Keep up to date with developments by reading relevant journals, going to meetings and attending relevant courses

Staff scheduling and supply coordination

Other duties as directed by management

Strong verbal, written and interpersonal communication skills that allow one to work effectively in a diverse working environment with all levels of staff, the public and program participants

High relationship and conflict resolution skills

Excellent organizational, time management and prioritization skills

Strong working knowledge of child development theories and practices

Effective attention to detail and a high degree of accuracy

Proficiency using MS Office with the ability to prepare and write reports/records

Comfortable with learning new technology and tools (ie zoom, Eventbrite, Canva, etc…)

Ability to work with children and their parents in a sensitive, effective and professional manner

Ability to develop a team in a dynamic, complex environment to enhance effective working relationships at all levels including clients, staff, community agencies and the public

Self-accountability along with a commitment to discretion and privacy

Strong morals and ethics, sound judgement and reasoning skills, along with a commitment to discretion and staff privacy

Able to identify key issues; creatively and strategically overcome internal challenges or obstacles

Sound analytical thinking, planning, prioritization, and execution skills

A clear and solid understanding of relevant legislation, personnel policies, practices, and procedures and other operational issues faced by the organization



Candidate Profile:

 

Bachelor’s degree or Diploma in Early Childhood Education (ECE) or related field

Four (4) or more years of previous supervisory and/or management experience

Proven leadership abilities, with a strong focus on operations and organization processes

Ability to interpret and implement company policies and procedures

High level of integrity, confidentially, and accountability

A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills

Current Standard First Aid with Level C Infant and Child CPR

Current Vulnerable Sector Screen

All immunizations up to date including Two step TB test

Valid Driver’s License, reliable transportation

Physically able to perform all assigned   tasks

 

Work Conditions

 

Ability to attend and conduct meetings and trainings

Interacts with children, youth, family members, teachers, administration, staff and visitors

May be exposed to infectious waste, diseases, conditions, etc.

Manual dexterity required to use desktop computer and peripherals

Overtime as necessary to carry out duties

Flexible work schedules including evening and weekends

Intermittent physical activity including walking, standing, sitting, bending, kneeling, crouching or crawling, lifting and supporting children
