The Talent Acquisition Associate plays a key role in delivering a seamless and inclusive hiring journey for every candidate. Reporting directly to the Manager, DEIB & Talent Acquisition, this role focuses on executing recruitment activities, coordinating processes, and maintaining accurate records. You'll support day-to-day recruitment operations—from drafting compelling, equity-centered job postings to managing applicant tracking system workflows, scheduling interviews, conducting phone screens, and preparing offer letters. You’ll also help build scalable templates, organize recruiting data into accessible dashboards, and contribute to process documentation that enhances our hiring efficiency and DEIB commitments. DELIVER A SEAMLESS CANDIDATE EXPERIENCE – IT’S WHAT YOU’LL DO
  • Job Posting & Candidate Outreach - Prepare and post job advertisements across relevant platforms ensuring inclusive and bias-free language. Coordinate outreach to diverse talent pools to support inclusive hiring goals.
  • Application Screening & Candidate Communication - Conduct preliminary resume screening to shortlist candidates based on role requirements. Facilitate timely communication with applicants regarding status updates, interview logistics, and follow-ups, maintaining a positive candidate experience.
  • Interview Scheduling, Coordination & Participation - Schedule and coordinate interviews for hiring managers and assist where requested with attending interviews (virtual and in-person) and providing guidance and feedback.
  • Applicant Tracking Administration & Documentation - Enter and maintain accurate candidate records in the Applicant Tracking System (ATS). Collect and compile recruitment data (e.g., time-to-fill, source of hire, diversity of applicant pools) to support continuous improvement of recruitment processes and inform DEIB strategies.
  • Offer Onboarding Support - Assist in preparing offer letters and any required pre-hire documentation. As well as collaborate with HR and Learning & Development to support the delivery of the multi-day new hire onboarding program.
  • Career Fairs & Employer Brand Representation - Support the planning and logistics for career fairs, campus recruitment, and virtual events. Participate as a company representative, ensuring messaging and materials are in line with employer branding efforts and ensuring alignment with our values and commitment to inclusion.
  • Innovation & Technology Integration - Assist in researching and testing new recruitment technologies, including Generative AI tools, as directed. Provide feedback on tools and processes to help identify potential efficiencies while ensuring ethical and inclusive use.

  • Committee Collaboration - Act as a liaison between Talent Acquisition and the DEIB Committee by participating in meetings, sharing recruitment data insights, and supporting implementation of DEIB objectives.
  • Inclusive Recruitment Practices - Support initiatives to minimize unconscious bias during hiring, including reviewing job descriptions, supporting structured interview questions, and promoting diverse candidate slates.

WHAT YOU’LL NEED TO SUCCEED

Education & Experience

  • Post-secondary education in Human Resources, Business Administration, or related field, or equivalent education and experience.
  • 1+ years of experience in recruitment/talent acquisition coordination, HR administration, or related support role.
  • Knowledge of DEIB principles in recruitment and onboarding is an asset.
  • Bilingual in French and English is an asset

Technical Skills

  • Proficiency with Applicant Tracking Systems (ATS), Microsoft Office Suite, and virtual interview tools and/or meeting platforms.
  • Comfort with learning and using recruitment technologies; familiarity with Generative AI is an asset.
  • Proficiency in various applications like Word, Excel, PowerPoint, and Outlook
  • Strong data entry accuracy and reporting capabilities.

  • Clear, professional communication skills in both written and verbal formats, including excellent phone etiquette.
