Payworks’ Legal & Privacy team is responsible for legal, privacy, compliance, and governance matters at Payworks. Our team is growing and this is an exciting and unique opportunity to join, support, and meaningfully contribute to a dynamic technology company! Reporting directly to the General Counsel & Privacy Officer, the Legal Assistant/Paralegal is responsible for providing essential support to the General Counsel & Privacy Officer and the Legal & Privacy team on day-to-day operations, such as contract administration, document management, as well as establishing, implementing, and improving existing administrative procedures. PROVIDE TIMELY SUPPORT – IT’S WHAT YOU’LL DO
  • Deliver First Rate Legal/Paralegal Support – Employing your education and/or experience, you will provide day-to-day legal support to the General Counsel & Privacy Officer and to the Legal & Privacy team in a range of areas, including the following key duties/responsibilities:
  • Doing initial reviews and proofreading of various types of contracts in order to spot/highlight issues and areas of concern and enable faster review by the Legal & Privacy team
  • Preparing, formatting, reviewing, and/or editing various legal, privacy, governance, and compliance documents, memos, reports, presentations, and correspondence, as required
  • Effectively managing the full contract lifecycle including preparing Payworks legal templates for use with our clients, partners, and/or vendors, guiding contracts through the approval and signature process, ensuring all needed corresponding documents are executed and filed properly, assisting in negotiations, archiving and record retention, and documenting renewal or termination of contracts
  • Maintaining an efficient electronic file & contract database 
  • Assisting with legal, privacy, and compliance projects, as assigned;
  • Providing office administrative support for the Legal & Privacy team, i.e., maintaining a list of tasks assigned in the team, maintaining/updating the company’s governance calendar, developing and improving standard operating procedures related to the Legal & Privacy team’s internal processes
  • Timely management of the Legal & Privacy inboxes. 
  • Preparing meeting agendas and recording minutes for department and other stakeholder meetings, as required. 
  • Coordinating/scheduling meetings, planning/arranging travel, and managing department expenses and budget. 
  • Liasing with internal stakeholders, external counsel, and other third parties, as required
  • Make an Impact – You will also have the opportunity to directly support the day-to-day initiatives of the General Counsel & Privacy Officer, as well as assist with special and strategic projects that matter to our business
WHAT YOU’LL NEED TO SUCCEED
  • Minimum of three years of experience in a legal assistant, paralegal, or contract administrator role
  • Completion of a legal assistant or paralegal program (or equivalent level of experience in a law firm or corporate legal environment) is an asset.
  • Self-starter, with ability to organize, multi-task, and manage multiple priorities with attention to detail.  
  • Experience supporting multiple lawyers or executives simultaneously.
  • Excellent organization and time management skills.
  • Strong written and oral communication skills.
  • A collegial and collaborative attitude with the ability to build strong relationships to drive results.
  • Ability to handle sensitive and confidential information with discretion. 
  • Proactive, creative, flexible and able to problem-solve and improve efficiencies.
  • Excellent knowledge of MS Office Suite (Word, Outlook, Excel, PowerPoint). 
  • Proficiency in using legal research and contract management tools is considered an asset.
BONUS SKILL SET
  • Written and oral fluency in both official languages (French/English) an asset.
