Reporting to the General Manager, the Document Management Technician will be responsible for document information between the various stakeholders, firms, contractors, technical staff, etc. He or she will organize and manage all categories of stored documents using rigorous methods. He or she will work mainly at the Windfall site or remotely on a 5-2 basis, with occasional trips to the Montreal office. Occasional travel to engineering firms and certain suppliers will also be required.
Duties and responsibilities
•Be the central point of contact for technical documentation management;
•Apply and update the document classification and indexing plan;
•Receive, classify, verify, and transmit engineering and supplier documents;
•Manage the archiving, tracking, and secure destruction of documents in accordance with legal standards;
•Implement and update document management system databases;
•Control and verify documents shared among engineering project members, ensure their quality, and ensure their transfer to operations;
•Respond to requests and questions from internal and external users;
•Train internal and external users in the use of the filing system;
•Proactively communicate with internal and external stakeholders to update documents, issues, and archiving, and monitor processes;
•Respect the document approval chain and ensure compliance with defined document standards;
•Ensure that document production deadlines are met and manage delays;
•Prepare document inventories and maintain indexes for classification systems;
•Inform and assist the department on the use of document services and provide references as needed;
•Apply a reliable control process (quality and compliance);
•Participate in various project meetings, as required;
•Comply with occupational health and safety and environmental policies and rules at all times;
•Perform any other duties related to the position of document management technician.
Qualifications
•College diploma (DEC) in documentation technology, administrative technology, or other related fields;
•Three (3) to five (5) years of experience in a similar position;
•Experience in the mining industry (an asset);
•Bilingualism (English and French) (will be required to communicate with English-speaking suppliers).
Technical skills
•Very good understanding of the documentation environment and information flows;
•Ability to distinguish between different types of information, drawing disciplines, supplier drawings, applicable standards, phases, Pink Room, etc.;
•Excellent command of Microsoft Office software (Excel, Outlook, etc.);
•Experience with document management software (Edman) (an asset);
•Experience in consulting engineering or/with engineering projects (an asset);
•Experience in document control (an asset);
•Knowledge of AutoCAD Viewer (an asset).
