We are currently seeking a Specifications Writer to join our National Team.

Job Summary

The Architectural Specifications Writer is a technical and strategic contributor responsible for developing and maintaining high-quality, standardized specifications that support excellence in project delivery across all Zeidler studios. This role guides teams through all project phases, ensuring specifications reflect current industry standards, sustainable practices, and client requirements. The position requires deep knowledge of materials, codes, and procurement practices, and plays an essential mentorship role in promoting consistency, quality, and innovation across the firm.

Key Responsibilities

Design + Documentation

  • Develop and maintain up-to-date, firmwide master specifications tailored to project types and aligned with current industry and sustainability standards.
  • Author, review, and coordinate project-specific specifications from schematic design through construction documentation.
  • Research and implement innovative, high-performing, and sustainable materials and systems in coordination with design teams.
  • Ensure all specifications comply with applicable codes, contract requirements, and firm QA/QC standards.
  • Create and manage spec development schedule to meet multiple demands for various project simultaneously.

Project Support + Coordination

  • Guide project teams in the integration of specifications throughout all project phases to support design integrity and technical excellence.
  • Support the development of design briefs to ensure alignment between client vision, performance objectives, and material systems.
  • Participate in pre-tender reviews and assist in construction administration tasks including RFI responses, submittals, and change documentation to ensure adherence to specifications.
  • Work collaboratively with teams across offices to ensure consistent technical strategies and specification implementation.
  • Maintain a regularly updated blacklist of unsustainable or non-compliant materials in alignment with the firm’s environmental performance goals.
  • Ensure all work aligns with the firm’s Project Delivery standards, including proper use of filing systems, adherence to architectural procedures, and compliance with drawing and documentation protocols.

Team + Culture

  • Mentor and educate project teams on the importance of well-crafted specifications and how they enhance project quality, risk mitigation, and design continuity.
  • Maintain and manage the firm’s material library, ensuring accessibility to up-to-date samples and performance information across studios.
  • Actively engage with manufacturers and industry representatives to stay informed of emerging products, systems, and technologies.
  • Foster a collaborative, detail-oriented, and accountable team environment grounded in professional growth, sustainability, and technical leadership.
  • Able to work in a collaborative, in-office environment (100% in-office presence required at any Zeidler Canadian Offices) to support direct team engagement and effective cross-functional coordination).

Qualifications

  • Minimum 10 years of architectural specification writing experience across varied project types and scales.
  • Strong knowledge of Canadian building codes, materials, and construction practices.
  • Proven ability to produce comprehensive and coordinated specifications across design phases.
  • Familiarity with sustainable design, healthy material selection, and LEED/green building certification frameworks.
  • Experience with tendering, procurement, and contract administration.
  • Excellent written and verbal communication skills with a mentorship mindset.
  • Proficiency in specification writing software; familiarity with BIM platforms (e.g., Revit) is an asset.
  • CSC (Construction Specifications Canada) or CSI (Construction Specifications Institute) membership or certification is preferred.
