Systems Contractors, a full-service HVAC/Mechanical Contractor, is hiring for a Service Coordinator/Dispatcher for our Greensboro, NC office!

 

We are seeking a highly organized and detail-oriented Service Coordinator with experience in HVAC scheduling and preventive maintenance (PM) management. This role requires someone who thrives in a fast-paced, high-volume environment, works well under pressure, and collaborates effectively with various personality types across teams.

Responsibilities
  • Customer Service & Dispatch Support:
    Respond to phone and email service requests as a backup to other coordinators. Ensure prompt, professional communication and excellent customer service during all client interactions.

  • HVAC Scheduling:
    Coordinate and schedule preventive maintenance (PM) visits, service calls, and technician assignments. Optimize routes and technician workloads to maintain efficiency during peak seasons.

  • PM Agreement Management:

    • New Agreements: Enter new customer and equipment information into the system, create service tasking based on sales input, and ensure setup accuracy.

    • Renewals: Monitor upcoming renewals, alert sales teams, update pricing, and adjust scope or schedules as needed.

    • Compliance: Schedule and track PM visits to ensure work is performed in alignment with contract terms and customer expectations.

  • Data Management & Documentation:
    Maintain accurate service records, PM schedules, and renewal logs. Track and update customer agreements, technician assignments, and equipment details.

  • Team Collaboration:
    Partner with technicians, sales representatives, and other coordinators to ensure smooth communication, timely scheduling, and high-quality service delivery.

  • Resource Coordination:
    Support dispatching, prioritizing service requests, and assisting with emergency or high-priority scheduling as needed.

Qualifications: 

  • Experience in HVAC service scheduling or coordination (preferred)

  • Strong attention to detail and accuracy in data entry and documentation

  • Ability to handle high call and scheduling volume, especially during peak seasons

  • Excellent communication skills and ability to work with diverse personalities

  • Proactive problem-solver who thrives in a collaborative, fast-paced environment
