Position Overview
The Service Administrator will be the main point of contact for working with the Service Manager and Shop for all work orders and administrative duties that support the service department. This position requires someone who is highly motivated and a team player to ensure Lawson Sales surpasses our customer’s expectations by completing the duties required professionally and promptly. Responsible for the safe, effective, clean, organized, and professional performance of the Service Department administrative duties at all times.
Key Responsibilities
· Prepare work orders for the Service Manager / Supervisor /Manager’s review and approval.
· Participate in increasing revenues and customer service levels by helping improve service operation administrative processes in the Service department.
· Participate in the development and implementation of a “customer service, customer-focused” philosophy, within the department.
· Responsible for participating in the administrative duties of the Service department (field, shop internal, and warranty), whichever is assigned to.
· Assist in dispatching technicians in the absence of the Service Manager / Supervisor (field position).
· Answer calls coming into the Service Department.
· Responsible for helping achieve Work in Progress targets and closing WOs after the Manager / Supervisor has authorized closing.
· Responsible for entering time and job stories onto work orders.
· Responsible for entering time for payroll having it reviewed by Manager/Supervisor and submitting it to payroll on time.
· Process expenses for the Technicians.
· Ensure proper GL coding for purchases.
· Ensure proper handling, storage, and disposal of hazardous materials, coordinating with licensed hazardous waste carriers for disposal. Maintain records and submit required documentation.
· Maintain Service Department filing.
· Prepare and file warranty claims for respective OEMs.
· Perform other duties and projects as assigned by the Service Manager/Supervisor.
Minimum Skills and Qualifications:
· Exceptional organizational skills.
· Must possess excellent written and oral communication skills.
· Proficient with time management skills a must.
· Customer service skills on the phone and when customers visit the facility.
· Good Knowledge of financials to assist in customer account issues.
· Excellent multitasking skills.
Working Conditions
- Work is primarily performed in an office environment within a service department.
- Frequent interaction with customers, technicians, and suppliers, requiring excellent interpersonal skills.
- This may involve standing for extended periods and occasionally lifting light to moderate weights.
- Must be available for flexible working hours, including weekends and evenings as required.
· Ability to climb a flight of stairs to access the office.
· Much of your time will be spent on the phone or computer.
· Ability to lift up to 25 lbs.
