The Sales Support position is responsible for providing support to Sales Representatives regarding sales quotes, order entry, and associated documentation. Sales Support is also responsible for assisting with purchasing to include drafting of purchase orders, locating materials, and organizing inbound purchase orders with current sales orders.
Responsibilities and Duties
As a minimum, the following is a basic description of typical duties and responsibilities expected of the Sales Support. These duties are not exhaustive and are subject to change as the needs of the organization require.
- Receive customer quotes from Sales Representatives to prepare Excel Quote Form and enter quotes in Zoho system, then return completed Zoho quote and Excel Quote Form to respective Sales Representative.
- Enter quotes and purchase orders from Sales Representative into Invex to create the sales order.
- Review sales orders to customer purchase orders for accuracy.
- Verify costs and weights on customer sales orders and update data as necessary before entering in the computer system.
- Obtain final approval from Sales Manager prior to releasing sales orders for production.
- Assist Sales Manager in obtaining quotes for material needed to fulfill customer sales orders then inform respective Sales Representative of the quote details.
- Prepare purchase orders for material located for buyouts, stock purchases, and other material needs.
- Maintain updated record of incoming purchase orders and sales acknowledgements to ensure all correspond with appropriate sales orders.
- Back up Administrative staff with invoicing sales orders and any other areas necessary to maintain an efficient workflow of customer orders.
- Contribute to a positive work environment based on teamwork and continuous improvement.
- Communicate effectively with Sales Representatives, management, and other co-workers.
- Adhere to all TSM safety rules, regulations, and quality standards.
- Adhere to all TSM handbook policies, procedures, and codes of business ethics.
Required Qualifications
- High school diploma or equivalent
- Microsoft Office proficiency, including Word, Excel, and Outlook
- Excellent written and oral communication skills
- Good organizational, problem-solving skills, and time management skills
- Ability to effectively multi-task and work independently on assigned tasks
- Excellent attention to detail and ability to transfer data accurately
- Strong work ethic; self-motivated
- Operate with high integrity, maintaining positive relations with co-workers, customers, and suppliers
Preferred Qualifications
- Bachelor’s degree in Business or related area
- Four or more years of experience in sales and marketing
