Position: Recruitment and Onboarding Specialist

Overview

We are seeking an organized, motivated, and people‑focused Recruitment and Onboarding Specialist to support recruitment, onboarding, and human resources administration support across multiple companies.

This role plays a critical part in sourcing and attracting top talent, coordinating a seamless onboarding experience, and supporting the full employee lifecycle. You will work closely with the HR Manager, hiring leaders, and internal partners to ensure efficient hiring processes and a positive employee experience.

This opportunity is ideal for someone early in their HR career who enjoys recruitment, organization, and working in a fast‑paced, collaborative environment.

This is a 100% in office role, we do not offer remote work.

Key Responsibilities

Recruitment & Talent Acquisition

  • Partner with hiring managers to identify staffing needs and develop effective recruitment strategies
  • Coordinate full‑cycle recruitment across multiple companies and locations, including rural and hard‑to‑fill roles
  • Post job advertisements and manage applicant tracking systems (ATS)
  • Source active and passive candidates through direct sourcing, referrals, networking, and social media
  • Screen resumes and conduct initial phone interviews or pre-screens.
  • Schedule interviews and coordinate communication with candidates and hiring managers
  • Conduct reference checks and prepare employment offers
  • Participate in recruitment events, career fairs, networking initiatives, and open houses
  • Collaborate with the HR Manager and Marketing team to support social media and recruitment campaigns aligned with market trends

Onboarding & Employee Experience

  • Coordinate onboarding for new hires to ensure a smooth and positive start
  • Prepare employment agreements, offer letters, and onboarding packages if needed
  • Maintain onboarding checklists and documentation

Human Resources Administration Support

  • Track probation periods, employee milestones, and employment changes
  • Assist with HR reporting, recruitment metrics, and staffing summaries
  • Create, update, and maintain job descriptions in collaboration with managers
  • Assist with updating HR policies, procedures, and organizational charts
  • Support employee engagement initiatives, events, and recognition programs
  • Perform general administrative support and other duties as assigned

Qualifications & Skills

  • Diploma or Degree in Human Resources, Business Administration, or a related field (or working toward completion)
  • 1–3 years experience in HR administration, recruitment coordination, talent acquisition, or onboarding
  • Experience working with an Applicant Tracking System (ATS) and/or HRIS
  • Proficiency in Microsoft Office (Word, Excel, Outlook); strong Excel skills considered an asset
  • Excellent organizational skills with high attention to detail
  • Strong communication and interpersonal skills with a professional, service‑oriented approach
  • Ability to manage multiple priorities in a fast‑paced environment
  • Experience working with rural recruitment, hard‑to‑fill roles, or multi‑location organizations is an asset
  • Valid Driver’s License
