Recruiting Assistant (Part-Time)
The Recruiting Assistant supports the Human Resources Department by coordinating all aspects of the recruitment process, ensuring a positive candidate experience, and serving as a professional point of contact for candidates, managers, and leadership. The Recruiting Assistant adheres to the company's hiring standards and contributes to the growth and success of the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•Manage the posting of positions within the Applicant Tracking System (ATS)
•Ensure job posting visibility on Emergicon’s Careers page and distribution to external job sites
•Screen all incoming resumes to identify qualified applicants
•Contact applicants via the ATS to schedule phone interviews
•Conduct phone screens with applicants to assess their qualifications and fit for the position
•Send behavioral assessments to qualified candidates
•Communicate timely and professionally with candidates throughout the recruitment process
•Arrange interviews for hiring managers
•Prepare and send offer letters to selected candidates, using established templates and protocols
•Collaborate with the hiring manager and Human Resources during the offer process regarding start dates, pay rates, and other pertinent details.
•Coordinate background checks and drug screens for selected candidates, ensuring compliance with company policies and procedures.
•Submit help desk tickets for new hire setup, facilitating a smooth onboarding process for successful candidates.
•Track and document the status of potential new hires throughout onboarding process
•Act as a liaison between Human Resources, hiring managers, and leadership, communicating clearly, professionally, and confidently to support recruitment objectives and overall organizational needs.
•Deliver timely status updates to stakeholders, establishing clear expectations regarding next steps, timelines, and accountability.
•Ensure compliance with federal, state, and local employment laws and regulations, and company policies.
•Other job-related duties as assigned
EDUCATION AND EXPERIENCE
•HS Diploma or GED required
•Prior experience in recruiting, customer service, or similar roles that involve frequent professional, polite, and friendly interaction with candidates, clients, or patients is required.
•Familiarity with Applicant Tracking Systems (ATS) and recruitment software a plus
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
•Proficient in professional communication and interpersonal engagement with all audiences
•Ability to interact with candidates in a professional and courteous manner while exercising discretion to support hiring standards
•Ability to work independently and proactively, taking initiative as needed
•Ability to manage time effectively, prioritize tasks, and meet deadlines
•Familiarity with laws, regulations, and best practices related to hiring and recruitment (preferred)
•Skill in using applicant tracking systems and other recruitment software, or ability to learn quickly
•Strong organizational skills and attention to detail
•Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
WORK LOCATION AND SCHEDULE
This is a part-time position of up to 29 hours per week, scheduled based on company needs, with business hours between 8:00 a.m. and 5:00 p.m. The position is remote and limited to candidates residing within the state of Texas.
