Job Summary

The Receptionist, Social Media, and Event Coordinator plays an important role in greeting families, managing front desk tasks, and assisting with various clerical duties. You will be responsible for assuring regular and consistent social media presence for school programs and activities. You will support the planning and execution of events by coordinating logistics, managing calendars, and maintaining clear communication with key stakeholders. You will identify opportunities for expanding community awareness and involvement of Bach to Rock offerings and promote activities and services through electronic media. This position requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Duties & Responsibilities

Specific duties and responsibilities may include the following, but the individual will also be expected to perform all the necessary duties that are customarily performed by a person holding this position.

  • Greet families as they enter and exit the building
  • Provide information to parents and students; communicating and consulting with other member of the school staff and with parents to ensure the best interest of the students 
  • Respond promptly and professionally to customer inquiries via multiple channels (phone, email, chat, etc.)
  • Perform data entry tasks accurately and efficiently using Bach to Rock’s proprietary system
  • Answer phone calls and emails with accurate information regarding our programs
  • Manage social media posts on Facebook, Instagram, and Google Business for the school.
  • Prepare weekly email communications and coordinate messaging with social media posts.
  • Support the planning and execution of events by tracking key dates, coordinating logistics, and ensuring all deadlines are met.
  • Coordinate with internal teams to confirm availability for events and clarify responsibilities.
  • Perform weekly administrative follow-ups to ensure no tasks or communications are missed.
  • Assist with various administrative tasks to support office operations as required
  • Share responsibility for retail space being cleaned and maintained, organized, stocked, and repaired at all times

Job Requirements

  • A High School diploma or GED
  • Ability to interface successfully with the public 
  • Strong verbal and written communication skills in English, additional languages are desirable
  • Ability to create and maintain positive relationships with current and prospective customers
  • Strong interpersonal skills are required to facilitate good working relationships with faculty and staff and to interact with students, especially young people, and parents
  • Proficiency in data entry with a strong attention to detail
  • Problem-solving skills with a customer-first mindset
  • Effective time management and organizational skills
  • Adaptable to changes in the workplace
  • Ability to work independently and as a team player
  • Ability to operate basic office equipment, i.e. telephones, photocopiers and computers
  • Ability to use all relevant computer software (Microsoft Office, etc) proficiently, and the ability to learn to use B2R’s specialized systems
  • Ability to be physically present at the school during its hours of operation
  • Ability to pass a background check

  • Ability to work assigned schedule
  • Ability to work during the company’s normal business hours that may include weekends and evenings

  • Ability to lift and move the equipment typically associated with B2R’s day-to-day operation, e.g., amplifiers, keyboards, recording equipment, light furniture, etc.
