Scope of the position:

 Reporting to the Purchasing Supervisor, the Purchasing Administrator will be responsible in providing support to the purchasing and pricing departments for HVAC parts, equipment, and supplies.

Primarily you will be the liaison between Sales, Purchasing, and our Suppliers.

 

Duties and Responsibilities:

 Purchasing tasks:

  • New parts set up including description and costing
  • Obtaining confirmations from suppliers and updating relevant Purchase Order information
  • Updating Purchase Order ETA’s and advising based on branch requests
  • Non-Warranty Inventory Returns to suppliers as required
  • Assisting on Purchase Order discrepancies, working closely with Suppliers to make corrections
  • Assisting sales by creating stock transfers by request
  • Following up on backorders and communicating to sales when requested
  • Provide purchasing vacation secondary coverage
  • Running daily company stock replenishment transfers
  • Pricing entry and departmental back-up
  • Warranty department back-up
  • Other duties as assigned

 

 

Skills and Qualifications:

  • Organized, with good attention to detail and time management in a multitasking role
  • Independent and creative solution finder
  • Strong written and verbal communicator
  • 2 years’ experience in a wholesale purchasing role preferably in the HVAC/R industry is an asset
  • Experience with computerized purchasing and inventory systems
  • Possess strong Excel/Microsoft Office abilities
  • Ability to analyze data and make decisions
  • Strong motivation and initiative
  • Attention to detail in typing and proofing materials, establishing priorities and meeting deadlines
  • Prioritizes and plans work activities and uses time efficiently
  • Demonstrates accuracy and thoroughness, monitors own work to ensure quality and applies feedback to improve performance
  • Meets productivity standards and completes work in a timely manner
  • Adapts to changes in the work environment, manages competing demands, able to excel under pressure and adapt to change and capable of dealing with frequent change, delays, or unexpected events
  • Maintains confidentiality and uses discretion with information
