Position Summary:

As an Assistant Property Manager, you’ll handle a diverse range of responsibilities, from prospect communication and leasing activities to maintaining property standards and ensuring tenant satisfaction. Reporting directly to the Property Manager, you will collaborate with the broader property management team. Every day will present new opportunities for you to make a difference and contribute to our success.  


Key Responsibilities:

Prospect Communication and Leasing: 

ü  Manage quality communication and customer support for each prospect.  ü Assist in leasing suites with specific leasing goals in mind. 

Application Processing: 

ü Ensure accuracy and completeness of prospective resident applications, credit information, landlord, and employer references before Associate review. 

ü  Review prospect inquiries daily and schedule appointments using Lead Management. 

Property Management: 

ü  Assist Property Manager with move-in/move-out inspections. 

ü  Maintain well-managed properties in accordance with Zen Residential standards.  ü Collect competitive data to ensure properties are comparable to the market. 

Marketing and Promotion: 

ü  Market available properties using various media and promotional materials.  ü Participate in ongoing sales training to improve sales techniques. 

Reports and Documentation: 

ü  Complete traffic reports, vacancy reports, and related paperwork.  ü Perform database management using Yardi. 

Customer Satisfaction: 

ü  Enhance customer satisfaction and retention.  ü Address customer concerns and escalate them when necessary. Maintenance and Safety: 

ü  Ensure suites are well-maintained and market-ready.  ü Perform light maintenance duties such as changing light bulbs, dusting, and cleaning suites and common areas.  ü Share responsibility with the area team for property safety and security. 

Lease and Rent Management: 

ü  Responsible for lease renewals. 

ü  Collect and post rent, as well as arrears.  ü Conduct move-ins and move-outs.  ü Track and monitor tenant violations, reporting to the Site Manager.  ü Assist with serving eviction notices when required. 

Team Collaboration: 

ü  Work constructively with the team to resolve customer service requirements and meet team goals.  ü Assist the Property Manager (Operations) with additional tasks as required.   

Community Engagement: 

ü  Assist with organizing and attending community events for tenants to foster a sense of community and enhance resident satisfaction.  


Qualifications: 

v  Bachelor's degree in Business Administration, Real Estate, or a related field (or equivalent experience). 

v  Proven experience in property management or a related field, demonstrating strong organizational and problem-solving skills. 

v  Excellent communication and interpersonal skills for tenant interaction, team collaboration, and vendor coordination. 

v  Proficiency in property management software and Microsoft Office Suite. 

v   Knowledge of local property management regulations and best practices. 

v  Detail-oriented mindset with the ability to manage multiple tasks and priorities. 

v  Strong financial acumen and budgeting skills. 

v  Valid driver's license and reliable transportation. 

v  Professional demeanour with a commitment to delivering exceptional customer service.
