Pre-Billing Assistant Manager
PRIMARY FUNCTION
The Pre-Billing Assistant Manager will assist in overseeing the daily operations of the Pre-Billing Department, optimizing workflows and maximizing staff performance. This role involves reviewing reports, conducting quality audits, and ensuring accurate and timely completion of tasks. The Assistant Manager will play a key role in supporting the Pre-Billing Manager in achieving departmental goals and objectives, contributing to the overall efficiency and success of the department.
REPORTS TO/SUPERVISES
The Pre-Billing Assistant Manager reports directly to the Pre-Billing Manager and is responsible for supervising staff and overseeing the performance of the Pre-Billing Department. The Assistant Manager will provide leadership, guidance, and support to team members while collaborating with other departments across Emergicon to ensure seamless coordination and efficient operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Oversee daily operations of the pre-billing process, ensuring timely assignment of claims, accuracy of patient and insurance data, and current claim statuses.
· Lead and manage workflows to meet production goals and quality standards, addressing performance issues and providing guidance where necessary.
· Assist with client onboarding, collaborating with internal departments to ensure a smooth transition into the pre-billing process.
· Provide leadership and mentorship to team members and leads, fostering a productive and compliant work environment.
· Ensure adherence to payer regulations and HIPAA compliance across all activities.
· Review and ensure the accuracy of work performed by team members, including new hires, and provide ongoing training as necessary.
· Analyze and resolve issues related to Waystar rejections, working with the team to identify root causes and implementing corrective actions.
· Manage Freshdesk tickets, promptly addressing client inquiries and escalating complex issues when needed.
· Contribute to departmental strategic initiatives and special projects to improve efficiency and process innovation.
· Maintain communication with the Pre-Billing Manager regarding team performance, updates, and departmental progress.
· Perform pre-billing tasks as necessary.
· Other job-related duties as assigned.
EDUCATION AND EXPERIENCE
· Associate’s degree or higher in healthcare administration, business administration, or related discipline preferred.
· Certified Ambulance Coder designation preferred.
· Minimum of 3 years of experience in healthcare billing, coding, or related administrative role, or a combination of education and experience in a relevant healthcare field required.

· Strong communication skills, both verbal and written, with the ability to interact effectively with employees, clients, patients, and external parties.

· Detail-oriented with the ability to multitask, solve problems, and meet goals.
· Knowledge of medical terminology, payor specifications, and coding.
· Proficiency in Microsoft Excel for building, sorting, and manipulating spreadsheets at an intermediate level.
· Ability to navigate reporting software for ad-hoc data requests.
· Proven ability to motivate employees and drive team performance.
· History of self-driven, goal-focused behavior.
WORKING CONDITIONS
Work is performed on a computer and requires long periods of sitting or standing at a workstation.
WORK SCHEDULE
This role follows a hybrid schedule, combining remote and on-site work. Regular collaboration with colleagues and other departments is expected. Occasional extended hours may be necessary to support operational demands or critical deadlines.
