About the role: 

PBS Facility Service is seeking a Portfolio Manager to play a key role in enhancing operational efficiency across our diverse portfolio. This role requires a dynamic individual dedicated to optimizing staffing, scheduling, and client service quality. The Portfolio Manager will work both in the office and in the field to support smooth daily operations and implement strategic improvements. 

What you will do: 

  • Operational Oversight: Ensure the seamless function of day-to-day operations within our doorman, concierge, and package room services, including 24/7 coverage. 

  • Scheduling and Staffing: 

  • Dedicate two days per week to managing schedules in the office, coordinating contingent staff to minimize overtime and reduce payroll discrepancies. 

  • Coordinate weekly schedules and manage staffing allocations across existing employees and new hires in collaboration with the Director of Security and Concierge. 

  • Field Engagement and Training: 

  • Spend three days per week in the field, meeting with clients and employees to assess strengths and weaknesses and identify improvement areas. 

  • Provide on-site training to ensure staff are equipped with necessary skills, resources, and tools to perform effectively. 

  • Cross-Training: 

  • Become proficient across all portfolios to ensure comprehensive knowledge and operational flexibility. 

  • Policy Development and Implementation: 

  • Collaborate with the Director of Security and Concierge to develop, refine, and implement policies and procedures that align with industry best practices and client requirements. 

  • Lead efforts to ensure all policies are applied consistently and support service excellence. 

What it takes to be successful: 

  • Proven experience in operations management, preferably within facility services or a related industry. 

  • Strong organizational skills with the ability to manage multiple portfolios effectively. 

  • Excellent communication and client relationship skills. 

  • Experience with scheduling, staffing, and managing contingent workforce challenges. 

  • Demonstrated ability to identify operational inefficiencies and drive continuous improvement initiatives. 

  • Flexible schedule to accommodate 24/7 portfolio oversight and ability to work both in-office and in the field.
