Emterra Group is looking for a Payroll Administrator to manage payroll processes for our Ontario team. The Payroll Administrator will ensure payroll is processed in a timely, accurate manner and in accordance with Company and government policies.  This position requires a highly organized person who has the ability to meet deadline in fast paced, multi-location environment and possesses strong analytical skills. 

Key Responsibilities

Payroll Processing:

  • Process bi-weekly or monthly payroll for all employees, ensuring accurate calculations of wages, overtime, bonuses, and commissions.
  • Verify and process timesheets, vacation requests, sick leave, and other paid time off.
  • Ensure compliance with company policies and federal, state, and local tax regulations.

 Record Keeping & Reporting:

  • Maintain accurate payroll records, including employee earnings, tax withholdings, and deductions.
  • Prepare and submit required payroll reports to management and regulatory agencies (e.g., tax authorities, insurance providers).

Compliance:

  • Ensure compliance with federal and state labor laws, tax regulations, and benefit plans.
  • Stay up to date with changes in payroll-related laws, regulations, and tax codes.
  • Assist with audits related to payroll and benefits.

Employee Support:

  • Serve as a point of contact for employees with payroll inquiries, providing timely and accurate responses.
  • Assist employees in understanding their pay, deductions, and benefits.

Payroll System Maintenance:

  • Maintain and update payroll software and systems (Payworks/Navusoft) to ensure efficient processing.
  • Work with HR to ensure employee data is accurate in payroll systems (new hires, terminations, promotions, etc.).

General Administrative Support:

  • Assist with other HR functions as needed, such as benefits administration, employee records management, and recruitment.

Qualifications:

  • Proven experience as a Payroll Administrator, Payroll Specialist, or similar role.
  • PCP certification or enrolment in the program is preferred
  • Strong knowledge of payroll and tax regulations (federal, state, and local).
  • Familiarity with payroll software (e.g., Navusoft, Payworks) is an asset
  • Excellent organizational and time-management skills.
  • High attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
