Partnership and Festival Operations Intern - Whitecap Entertainment

Charlottetown, PE Seasonal $18.00-$22.00/hour
The Partnership and Festival Operations Intern works in collaboration with the Partnership Manager and Director of Festival Operations on key aspects of our two flagship events; Cavendish Beach Music Festival and Sommo Festival.  

This role requires a highly detailed, organized, and team-oriented individual. 70% of the role focused on partnership support including partnership fulfillment of contractual deliverables, managing VIP guest communications and onsite experience and supporting in the development of post event reports. 30% of the role focuses on Event Operations support including managing festival inboxes and festival signage planning.  

As Partnership and Festival Operations Intern, You Will: 

Partnerships :
  • Manage Partner tracking documents to ensure all information and assets required from partners are received by deadlines and captured in respective planning documents  
  • Providing clear and timely responses to any outreach from festival partners and VIP guests  
  • Support in the fulfillment of partnership deliverables pre, during and post event 
  • Support in design and planning of partner stewardship event including gifting, food and beverage, entertainment and creative assets  
  • Lead the creation of the post event partner report including design, data capture, photo sorting and copy writing 
  • Work in collaboration with the Entertainment Coordinator to ensure all tickets are distributed to all partners, corporate suites, and VIP ticketholders leading up to and onsite at the festival 
  • Collaborate with cross functional teams including Marketing, Finance, Food and Beverage, and Operations 
  • Assist with other duties as required including on-site during festivals from set-up, festival, and take-down 
Festival Operations:
  • Monitor festival general outreach inboxes responding to e-mails as needed  
  • Collaborate with Operations, Partnerships and Marketing teams to develop a comprehensive signage plan for the festival including maps, directional signs, and menus 
  • Manage the signage grid ensuring project elements remain on track and the Marketing team has all information they require to design signage 
  • Oversee the printing and production of all signage materials 
  • Ensure signage is properly placed and secured, considering weather conditions and safety

What You Bring 
  • Previous experience in administration, customer service, marketing or sponsorship roles is an asset 
  • Experience with Microsoft Office, particularly Excel 
  • Must have a driver’s license and access to a car 
  • Capable of lifting 50 pounds
