Job Summary:
We are seeking a highly organized and proactive Part-Time Executive Assistant to support the day-to-day operations of our HVAC company’s leadership team. This role is ideal for someone who thrives in a fast-paced environment, is detail-oriented, and can manage a wide range of administrative and coordination tasks. HVAC industry experience is a plus but not required.
Key Responsibilities:

Provide administrative support to company leadership, including calendar management, meeting scheduling, and email correspondence.

Coordinate internal and external communications, including client follow-ups and vendor management.

Assist with bookkeeping tasks such as invoice tracking, expense reporting, and document organization (QuickBooks experience a plus).

Maintain organized digital and physical filing systems.

Help prepare proposals, reports, and job estimates under guidance.

Track project timelines and assist with scheduling technicians and jobs as needed.

Manage social media posts or light marketing tasks (optional).

Handle confidential information with discretion.
Qualifications:

Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

Strong organizational and time management skills.

Excellent verbal and written communication abilities.

Proficiency with Microsoft Office Suite, Google Workspace, and scheduling tools.

Familiarity with HVAC industry processes or terminology is a plus.

Ability to work independently and maintain a flexible schedule.
