Part-Time Executive Assistant

Location: Greenville / Hybrid

Company: Blue Ridge Heating and Air 

Schedule: Part-Time (15–25 hours/week)

Reports To: Owner / General Manager

Job Summary:
We are seeking a highly organized and proactive Part-Time Executive Assistant to support the day-to-day operations of our HVAC company’s leadership team. This role is ideal for someone who thrives in a fast-paced environment, is detail-oriented, and can manage a wide range of administrative and coordination tasks. HVAC industry experience is a plus but not required.

Key Responsibilities:

  • Provide administrative support to company leadership, including calendar management, meeting scheduling, and email correspondence.

  • Coordinate internal and external communications, including client follow-ups and vendor management.

  • Assist with bookkeeping tasks such as invoice tracking, expense reporting, and document organization (QuickBooks experience a plus).

  • Maintain organized digital and physical filing systems.

  • Help prepare proposals, reports, and job estimates under guidance.

  • Track project timelines and assist with scheduling technicians and jobs as needed.

  • Manage social media posts or light marketing tasks (optional).

  • Handle confidential information with discretion.

Qualifications:

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

  • Strong organizational and time management skills.

  • Excellent verbal and written communication abilities.

  • Proficiency with Microsoft Office Suite, Google Workspace, and scheduling tools.

  • Familiarity with HVAC industry processes or terminology is a plus.

  • Ability to work independently and maintain a flexible schedule.

Preferred Skills:

  • Experience with ServiceTitan

  • Knowledge of basic accounting or QuickBooks

  • Social media or marketing experience
