Part-Time Administrative Assistant / Bookkeeper
Company Overview
We are a small, family-owned group of businesses in the local marina and boating industry:
- The Pelican’s Nest Marina (PNM): Full-service marina offering slip rentals and used boat sales.
- HM Enterprises Trading as HM Boats (HM): Engine sales and marine engine service provider.
- Pelican’s Nest Properties (PNP): Manages commercial properties, including the facility housing HM Boats and other tenants.
We are seeking a detail-oriented, part-time (15 – 20 hr.) Administrative Assistant with bookkeeping experience in QuickBooks Desktop (Pro Plus 2024) to support financial recordkeeping and administrative operations across all three companies.
Position Summary
The Administrative Assistant / Bookkeeper will handle day-to-day bookkeeping and data entry tasks using QuickBooks Pro Plus 2024 (desktop). This role involves entering information from our Point-of-Sale (POS) systems and bank feeds, reconciling accounts, and maintaining accurate financial records to prepare for year-end reporting. The position reports directly to ownership and works closely with our accounting firm.
Key Responsibilities
- Enter daily and weekly transactions from POS systems for HM Enterprises (HM) and The Pelican’s Nest Marina (PNM) into QuickBooks.
- Record and reconcile bank and credit card transactions for all businesses (HM, PNM, and PNP).
- Prepare for payment all Watercraft taxes and Business licenses.
- Maintain accurate financial data and ensure all accounts are up-to-date for year-end review.
- Prepare organized financial records for submission to our accounting firm by the second week of January.
- Track expenses, sales, and revenues across business entities.
- Communicate with ownership and accounting staff to resolve discrepancies.
- Assist with other administrative tasks, filing, and light office support as needed.
Qualifications
- Experience: Minimum 2 years of bookkeeping or administrative experience.
- Software: Proficient with QuickBooks Desktop (not cloud-based); experience with POS systems preferred.
- Skills: Strong attention to detail, accuracy in data entry, and ability to maintain confidentiality.
- Education: Associate degree in Accounting, Business, or related field preferred (or equivalent experience).
- Work Style: Self-motivated, organized, dependable, and able to work independently.
Compensation & Schedule
- Pay: $17–$20 per hour (based on experience)
- Schedule: Part-time, approximately 15–20 hours per week, flexible schedule available
- Location: On-site (due to QuickBooks Desktop and POS access)
