THE ROLE

This role – Operations Coordinator –provides exceptional customer service by supporting the day-to-day business through administrative and data entry duties. The Operations Coordinator is responsible for field scheduling of delivery and installation work, including manpower and vehicle assignments. This also includes final work order instructions, along with all inbound and outbound orders ensuring accuracy and timely appointments.  

As our Operations Coordinator, you'll play a vital role in ensuring smooth operations and timely appointments. From scheduling manpower to managing warehouse logistics, you'll collaborate with internal and external teams to deliver outstanding service.

This is a full-time permanent position, working out of our impeccably designed and furnished office and warehouse location, that is pet friendly. You’ll mostly work within our core business hours, Monday to Friday, with irregular or extended hours as projects demand.

RESPONSIBILITIES

  • Scheduling and Coordination of the delivery and installation work, ensuring timely appointments and efficient use of resources.
  • Considers risk management by monitoring client issues and technical issues in a timely manner to minimize liability and acts to resolve.  Proactive thinking and action are encouraged.
  • Work closely with project team in the implementation of any installation.
  • Ensure awareness of the project requirements of converging product and labor are coordinated and communicated across project teams, as per Work Order instruction. 
  • Track all orders via Operating system, updating the Project Team with a status report 
  • Communicates with client regarding order status, punch list resolution and the scheduling of orders for delivery/installation
  • Ensure that the delivery and installation is booked with all Project Team members including freight companies, installers, client, etc..
  • Ensure deficiencies are addressed and resolved in a timely manner 
  • Schedules shop work for special cuts or other short work that needs to be done prior to any scheduled installation or service work
  • Distributes "pick lists" to warehouse in the morning so they can pull and stage product for next day's deliveries.
  • Monthly review of all storage accounts, ensuring invoicing accuracy
  • Coordinate “picking” and “pulling” of product for both storage and stock programs 
  • Communicates product receipt to sales, sales support, project management, and project coordination. 
  • Manages the staging of product in warehouse, noting location on receiving paperwork; provides tags to all stored product for easy identification.

 ABOUT YOU

Your customer service background allows you to problem solve, meet client demands and be adaptable. You are action orientated, well organized, with solid communication skills capable of influencing others to affect successful outcomes. The role requires someone who is a self-starter/ hard worker with the ability to work under pressure managing multiple tasks.

 If you are a quick learner, can adapt and have a passion for completing work within competing deadlines, this may be the position for you.

These are complex sales, where you’ll manage competing priorities, multiple internal and external stakeholders, and varying deliverables. Your experience in a similarly complex customer service/sales/design/construction environment will be crucial for your success here. The number of projects you’ll have on the go at any given time will vary depending on their size and scope.
