Operations Assistant
Fidelity Power Systems, one of the nation's largest distributors of Rehlko Generators, formerly ‘Kohler, and Power Systems, is seeking a seasoned Operations Assistant to join our growing team operating at our Springfield, VA office!

PRIMARY RESPONSIBILITIES:
· Provide administrative and operational support to the office operations team, ensuring smooth day-to-day workflow.
· Conduct quality assurance follow-up calls to recent customers to confirm satisfaction and address any concerns.
· Assist in coordinating large-scale service projects, including scheduling, documentation, and communication with internal teams and clients.
· Process invoice collection and auditing, assisting Payroll team with financial tasks as assigned.
· Manage and track all lube oil and antifreeze fluid samples, ensuring timely submission to laboratories for analysis.
· Process and submit factory warranty claims, maintaining accurate records for follow-up and resolution.
· Scan, organize, and upload approved quotes and project documentation into company systems for easy access and record-keeping.
· Support the service department by answering phones, logging service calls, and dispatching requests to the appropriate team members.
· Maintain organized files, databases, and office supplies to support efficient operations.
· Assist with safety-related tasks, ensuring compliance with company policies and procedures.
PREFERRED EDUCATION & EXPERIENCE:
- 2+ years of administrative, office support, or customer service experience, preferably in a service, construction, or mechanical environment.
- Strong organizational skills with the ability to handle multiple tasks and deadlines effectively.
- Excellent verbal and written communication skills for interacting with customers, vendors, and internal teams.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with service management or ERP software.
- Detail-oriented with strong data entry and documentation accuracy.
- Ability to work both independently and as part of a team in a fast-paced environment.
- Positive attitude, flexibility, and a willingness to assist wherever needed.
- High school diploma or equivalent required; additional business or administrative training preferred.
